About The Position

Beachmont is a growing behavioral health organization dedicated to providing high‑quality, ethical, and compassionate in-home behavior intervention services to individuals with disabilities and their families. Our work is fast‑paced, mission‑driven, and collaborative; and our administrative team plays a critical role in keeping services accessible, organized, and responsive. The Office Administrator supports the daily operations of Beachmont’s clinic and field-based services. This role is hourly, 30-40 hours per week, and is ideal for a detail‑oriented, organized professional who enjoys juggling priorities, communicating with diverse stakeholders, and supporting both clients and clinical staff in a healthcare environment.

Requirements

  • Bilingual in Spanish
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred
  • Prior experience in healthcare, behavioral health, or clinical administration strongly preferred
  • Comfort working in practice management or scheduling systems (ReThink experience a plus)
  • Strong organizational skills with excellent attention to detail
  • Professional, clear, and compassionate communication skills
  • Ability to manage confidential information with integrity and discretion
  • Ability to prioritize tasks and adapt in a fast‑paced environment
  • Proficiency with Microsoft Office and general office technology

Responsibilities

  • Conduct timely, professional communication with clients and staff via phone, email, and secure messaging
  • Schedule and coordinate clinical appointments across multiple service types
  • Manage updates within the practice management system
  • Enter, update, and track funding authorizations for services
  • Support client onboarding, orientation, and service navigation
  • Facilitate client discharges and complete required documentation
  • Assist with intake and referral processes, including responding to general inquiries
  • Maintain accurate clinician schedules and availability
  • Support staff onboarding, including document collection, onboarding checklists, and tracking
  • Assist with staff assignments and ongoing schedule adjustments
  • Support payroll submission processes
  • Track and support credentialing and recredentialing submissions and documentation
  • Manage incoming and outgoing correspondence (mail, fax, digital communications)
  • Assist with additional administrative duties as needed
  • Can self manage, fill in the gaps when needed, and take initiative.
  • All duties must be performed in compliance with HIPAA , company policies, and applicable federal and state regulations.
