About The Position

The Office Administrative Support role supports the day-to-day administrative needs of the corporate office and Human Resources team. The position focuses on HR administrative tasks, office operations, team member communications, and compliance tracking. This is a part-time position designed to provide consistent administrative support, with opportunities to take on additional responsibilities over time based on business needs and performance.

Requirements

  • Minimum 3+ years of experience in an administrative, office support, or HR support role preferred
  • Strong organizational skills with high attention to detail
  • Ability to handle confidential information with professionalism and discretion
  • Strong written and verbal communication skills
  • Ability to prioritize tasks, meet deadlines, and follow up independently
  • Proficient in Microsoft Word, Excel, and Outlook; experience with HRIS or applicant tracking systems preferred
  • Ability to work independently while collaborating effectively with a team
  • Physical requirements are the ability to perform a manual data input function for up to 50% of an 8-hour day on regular basis.
  • This position requires a focused, self-starter with the ability to multi-task and work in a fast-paced environment.
  • Must be able to work well under pressure with good organizational and project management skills.

Responsibilities

  • Warmly greets all guests, visitors, and team members as they enter the corporate office, creating a positive and welcoming first impression.
  • Promptly answers and manages a multi-line phone system, directing calls to the appropriate person or department in a courteous and professional manner.
  • Takes accurate messages and ensures timely delivery to office team members.
  • Announces and escorts guests as needed and ensures visitors follow office sign-in procedures.
  • Maintains front desk organization, cleanliness, and overall presentation.
  • Updates and maintains internal contact lists, phone extensions, and office directories.
  • Coordinates courier and delivery services, including scheduling pickups and tracking courier documentation for submission to accounting.
  • Receives, sorts, and distributes mail and packages.
  • Supports general front office administrative tasks as assigned.
  • Assists with special projects or additional reception-related duties as business needs require.
  • Send team member birthday and work anniversary communications
  • Update and maintain the General Manager (GM) roster, including email addresses and phone numbers (as provided)
  • Point of contact for OTB Restaurant Support Center for Landlord (PAR), Janitorial Service and Service Team
  • Submits and oversees resolution of service tickets to PAR Service Team
  • Coordinate office access and logistics for meetings, including meeting meals, working with IT on technical or access needs, ensuring meetings and office supplies are readily available
  • Coordinate office and kitchen supply ordering and inventory
  • Other special projects and clerical duties as assigned
