Position Overview We are seeking a highly organized, customer-focused Office Administrative Assistant to support our Operations Manager and serve as a key point of contact for customers and drivers. This role is ideal for someone who thrives in a fast-paced environment, communicates confidently, pays close attention to detail, and enjoys keeping operations running smoothly behind the scenes. You will play a vital role in customer service, invoicing, and operational support while representing our brand with professionalism and positivity.

Requirements

  • Strong verbal and written communication skills
  • Excellent phone etiquette and professional demeanor
  • High attention to detail and accuracy in data entry
  • Ability to multitask and prioritize in a fast-paced environment
  • Comfortable using MS Office and learning new software systems
  • Independent thinker with problem-solving skills
  • Customer service experience required
  • High school diploma or equivalent
  • Legally authorized to work in the U.S.
  • Must live in the Toledo or Southeast Michigan area

Responsibilities

  • Answer all incoming phone calls, text messages, and emails promptly
  • Provide pricing information and rental details to customers
  • Enter dumpster rental requests accurately into the ordering system
  • Request customer reviews and follow up on feedback when appropriate
  • Generate and send customer invoices
  • Ensure accurate entry of work orders and rental details
  • Manage and resolve billing discrepancies within the ordering system
  • Maintain organized digital customer records
  • Perform daily weight ticket audits for accuracy
  • Monitor dumpsters that have been on-site for extended periods
  • Track job site details and ensure proper documentation
  • Review and understand daily workload, inventory availability, and scheduling limitations
  • Coordinate same-day delivery and pickup requests with drivers and management
  • Send next-day pickup reminders and online order text notifications
  • Communicate schedule updates clearly between customers and drivers
  • Follow up with customers regarding outstanding invoices
  • Assist in resolving payment issues professionally and promptly
  • Keep management informed of operational issues, delays, or customer concerns
  • Support smooth daily operations by maintaining clear internal communication
