About The Position

Under the direction of the Distribution Center (PDC) Manager, the Office Administration Manager is responsible for all office activities including MRO purchasing, facilities maintenance, RF equipment, capital fixed assets, and supervising the administrative team. This role serves as the on-site liaison to Human Resources with oversight and guidance from the Human Resource Business Partner.

Requirements

  • Bachelor's degree required.
  • Focus on business, logistics, human resources, or related area preferred.
  • Ability to influence others through clear communication of expectations.
  • Ability to present and communicate to all levels of management.
  • Intermediate PC skills required: MS Office Suite (including: Access, Word, Excel and PowerPoint).
  • Previous leadership experience desired.

  • Master's degree is a plus.
  • AutoCAD Preferred.
  • Demonstrated abilities in project management.
  • MRO and procurement experience preferred.
  • Experience in manufacturing, logistics, human resources, and customer service experience preferred.
  • Mechanical aptitude is a plus.
  • Experience with ISO systems highly desirable.
  • Multi-lingual skills highly desirable.
  • HRCI (PHR / SPHR), SHRM (CP / SCP) certification is a plus.
  • Six Sigma Trained: Lean or Green Belt preferred.
  • Willing to relocate in near future required (continental U.S.) preferred.

Responsibilities

  • Plan and coordinate multiple facility tours/events for employees, suppliers, dealers, and customers.
  • Coordinate work with contractors and vendors to ensure building and surrounding property are maintained.
  • Prepare all necessary reports for Parts Division and Corporate.
  • Maintain fixed asset listings and support preparation of operating and capital budgets.
  • Manage Maintenance/Repair/Operations (MRO) Purchasing and reconciliation, including bid requests for competitive quotes.
  • Act as liaison between I.T. & facility for system changes, server room updates, and training.
  • Maintain tracking for all RF equipment inventory and service support.
  • Oversee the ISO 9001, ISO 45001, and ISO 14001 systems in the PDC.
  • Ensure teams actively promote continuous improvement of Quality, Health & Safety, and Environmental processes.
  • Manage operations control activities such as logistic vendor scheduling, live load control, and load balancing.
  • Schedule trailer inbounding with the material logistics group.
  • Delegate administrative support tasks from PDC Manager, Assistant PDC Manager, and Supervisory staff.
  • Develop and maintain working knowledge with production processes and serve as primary backup for Assistant Managers as needed.
  • Supervise and develop all office associates and administrative staff.
  • Provide guidance, coaching, and supervision to the administrative team.
  • Conduct annual performance reviews and regular performance evaluations.
  • Develop cross-functional teams to ensure proper backup for workload variability.
  • Complete at least two process improvement projects per year utilizing Six Sigma methodology & tools.
  • Report on workforce oversight, timesheet monitoring, and liaise with the payroll department.
  • Oversee day-to-day payroll responsibilities, coordinating with division and corporate to complete semi-weekly pay cycles.
  • Ensure compliance for SOX audits.
  • Maintain PDC compliance with all local, state, and federal labor laws by coordinating with Human Resources.
  • Administer all recruiting, including scheduling sourcing and screening applicants, scheduling interviews, organizing pre-employment screening assessments, and completing reference checks.
  • Maintain a proactive recruiting network, including relationships with local universities, technical colleges, and military sites for recruiting fairs.
  • Conduct new employee orientation, prepare, and ensure new employee paperwork is complete.
  • Ensure maintenance of employee personnel electronic and hard copy files, including compliance paperwork.
  • Conduct annual file audits to ensure compliance.
  • Administer training programs and track employee participation.
  • Record mandatory training in the employee database of record (SAP).
  • Administer payroll / Workforce reporting, headcount, and confidential data.
  • Support the Human Resources Business Partner with coordinated efforts of Workers' Compensation claims and leave of absence (STD, LTD, FMLA) processing.
  • Other responsibilities as assigned.
