About The Position

The OEO Intake and Training Administrator is responsible for assisting two separate offices: the Office of Equal Opportunity (OEO) and Talent and Learning. The OEO Intake Administrator will support the OEO team as they manage the University’s compliance with issues of discrimination, harassment, and sexual violence under Title VI, Title VII, Title IX, ADA, Rehabilitation Act Section 504, Massachusetts 151B, VAWA, and other state and federal laws relating to discrimination, harassment and sexual violence. They work with students, staff, and faculty regarding concerns of discrimination, harassment and sexual violence across all of the protected categories. The OEO Intake Administrator will be responsible for coordinating and conducting intake of reports, analyzing and maintaining case data, and assisting with office administration. The Training Administrator ensures the consistent delivery of high-quality, institutionally aligned training and learning programs that advance compliance, performance, and professional development across the University. Through data-informed needs assessment and close collaboration with OEO leadership, the role produces relevant, effective training content delivered seamlessly across multiple modalities. The position results in a structured, welcoming onboarding experience for new employees, improved staff and manager capability through performance management training, and increased awareness and participation in learning opportunities. Robust communication, evaluation, and reporting practices for training and learning activities in support of continuous improvement, accurate compliance tracking, and audit-ready documentation, strengthening the University’s overall learning infrastructure and accountability.

Requirements

  • B.A./B.S. required preferably in Social Work, Human Resources, Professional Development.
  • 3-5 years of related experience is required.
  • Knowledge of Title VI, Title VII, Title IX, ADA, Rehabilitation Act Section 504, Massachusetts General Laws c. 151B, VAWA, Clery Act and other state and federal laws relating to discrimination, harassment and sexual violence.
  • Excellent interpersonal and communication skills.
  • Strong training and learning content development and delivery skills.
  • Demonstrated ability to be neutral and maintain professionalism when addressing complex and sensitive matters.
  • Ability to work with individuals who may be in distress and heightened emotional states with empathy and understanding.
  • Strong analytical and organizational skills.
  • Ability to take initiative, work independently and collaboratively, and to handle multiple projects simultaneously while remaining attentive to detail; Ability to adjust quickly to changing needs and priorities on a daily basis.
  • Proficiency with Microsoft Excel, Word, and PowerPoint or their Google Workspace equivalents required.
  • Ability to master systems and processes while balancing responsibilities between two related functions.
  • Subject matter expertise is required to answer participant questions which may not have a prescribed answer.

  • Legal/Paralegal training or education are a plus.
  • Experience with Ethicspoint, Maxient and/or Workday is a plus

Responsibilities

  • Act as an initial contact point for outreach to OEO, including meeting with reporting, complaining, and responding parties.
  • Oversee OEO intake and communications efforts for the OEO team, ensuring prompt responses to incoming reports.
  • Exercise independent judgement and apply working knowledge of OEO policies and procedures to help impacted parties understand what supportive resources, supportive measures, and resolution options may be available to them.
  • Follow up as needed with reporters and parties to provide support, updates, and determine next steps, including coordinating supportive measures.
  • Draft documentation as needed to initiate resolution processes and provide appropriate notice to all parties.
  • Maintain detailed records of intake information in the case management system and independently determine when to close reports.
  • Assist in the development of informational and outreach materials to reduce barriers to reporting and increase community awareness and understanding of OEO.
  • In consultation with the OEO and HR leadership, will develop and deliver the compliance training for employees and others groups as assigned.
  • Consults with the Director of Talent and Learning to develop and deliver HR training and learning aligned with institutional goals and effective practices.
  • Develops materials and resources for associated programming.
  • Manages all pre and post-training communication, follow-up and tracking (registration and completion for example.)
  • Analyzes survey and assessment data to identify institutional training needs.
  • Uses University systems for logistics, development and delivery of programming.
  • Collaborate with internal campus partners as needed.
  • Track and maintain detailed data of all reports to OEO of discrimination, harassment, and/or sexual violence in the OEO case management system.
  • Provide internal and external data analysis, audits, and reporting of case information.
  • Assist with quality control for outgoing documents and reports.
