About The Position

The Nursing Scheduler is responsible for scheduling employees to ensure sufficient coverage of staff for all shifts within AIP/CIP for Kedren. The nursing scheduler generates, manages and updates master schedules while making adjustments as needed according to census fluctuations, call-ins, and pre-planned leaves of absence.

Requirements

  • Experience in administrative clerical support in a psychiatric or other healthcare environment preferred.
  • Experience in MS Word, Excel and a data entry database computer software in a windows environment.
  • Must be organized, detail oriented and the ability to handle confidential information.
  • Possesses excellent written, verbal communication and interpersonal skills, the ability to interface with all levels of management, clients and associates while building strong relationships.
  • Must have the ability to problem solve, meet deadlines and follow through on work assignments in a fast-paced environment.
  • The ability to work overtime and/or additional days on special projects as needed.

Responsibilities

  • Maintain staffing operations across both units across all shifts: AIP and CIP (AM, PM, NOC).
  • Maintain accurate staffing list of all Nursing Department employees (FT/PT/Per Diem/Registry) to include names and contact information such as current telephone numbers, email, emergency contact, and home address.
  • Process requests for sick time off, vacation, maternity leave, Family Medical Leave Act (FMLA), and unpaid leaves of absence after approved by DON.
  • Notify DON of nursing employee schedules per shift per unit on daily basis.
  • Fulfilling staffing vacancies in advance to ensure adequate coverage for all shifts by using FT/PT/Per Diem and Registry staff. OT and Double time must be approved by DON.
  • Maintain open and professional communication with Registry Agencies, keep phone numbers of all administrative contact persons up to date.
  • Be available to receive phone calls and/or text messages from Registry Agencies regarding staffing needs as needed.
  • Keeping meticulous attendance records by monitoring overtime and attendance of employees.
  • Notify Director of Nursing of potential need for the progressive disciplinary process if staff members accrue excessive absences and/or tardiness.
  • Communicating with Unit Supervisors and the Director of Nursing / Chief Nursing Officer regarding floor orientation scheduling for newly hired employees in the nursing department.
  • Checking time clock punch records against master schedules and noting the appropriate changes.
  • Signing time correction forms for events such as missing meal periods or forgetting to clock in/out.
  • Track and document all in-service training sessions.
  • Utilizing computer software to prepare, change, and update the master schedule.
  • Secure coverage for vacancy shifts.
  • Work with the payroll manager to verify payroll accuracy.
