About The Position

The College of Natural Sciences, Mathematics, and Engineering (NSME) develops and implements grant-funded initiatives that strengthen STEM education, workforce development, and regional partnerships across K-12 schools, community colleges, industry, and university programs. These initiatives increase student access, persistence, experiential learning, transfer success, and career readiness while supporting California's workforce priorities. Under the general supervision of the Director of Grants and Outreach, the NSME Outreach Coordinator plans, develops, coordinates, and evaluates outreach, and serves as the primary liaison among K-12 districts, community colleges, university faculty, industry partners, government agencies, and community organizations to expand STEM pathways, coordinate outreach and recruitment activities, facilitate transfer partnerships, and support implementation of grant objectives.

Requirements

Bachelor's degree from an accredited university in education, public administration, communications, STEM, business administration, higher education administration, or related field.
Two (2) years of progressively responsible experience in one or more of the following: program coordination, outreach, grant-funded programs, student services, community engagement, partnership development, or higher education administration.
Experience should also include coordinating multiple projects simultaneously and working with diverse populations.
Possession of a valid driver’s license or the ability to obtain by date of hire.
Regular and reliable attendance is required.
Working knowledge of higher education outreach and recruitment practices, STEM education, and workforce development initiatives.
Working knowledge of grant administration and reporting requirements, with the ability to interpret and apply grant provisions.
Ability to develop and maintain collaborative partnerships with internal and external stakeholders.
Skill in planning and coordinating projects, large-scale public events, internships, and experiential learning activities.
Skill in collecting, tracking, analyzing, and reporting program and participant data using CRM or participant-tracking systems.
Skill in using Microsoft Office, Google Workspace, Canva, Zoom, and project management software.
Ability to prepare and deliver clear, effective presentations to diverse audiences.
Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
Excellent communication skills; ability to effectively communicate information in a clear and understandable manner.
Thorough knowledge of English grammar, spelling, and punctuation.
Ability to interpret, communicate and apply policies and procedures.
Ability to maintain a high degree of confidentiality.
Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
Working knowledge of or ability to quickly learn University infrastructure.
Satisfactory completion of a background check (including a criminal records check) is required for employment.
The person holding this position is considered a limited mandated reporter under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083, revised July 11, 2017.

Responsibilities

Plan and coordinate STEM outreach events serving K-12 students, community college students, teachers, families, and community partners.
Coordinate STEM career exploration activities, including employer presentations, career panels, site visits, demonstrations, and other activities that introduce participants to STEM educational pathways, occupations, and workforce expectations.
Organize workshops, summer programs, STEM Days, Roadrunner Science Fridays, Healthcare Career Nights, Engineering Day, and similar initiatives for K–12 students, community college students, teachers, families, and community partners.
Monitor planning deadlines, confirm participation by presenters and partners, and resolve routine scheduling and logistical issues.
Recruit participants for grant-funded programs.
Coordinate participation of peer mentors and student ambassadors by communicating program expectations, arranging orientation or training, scheduling assignments, providing outreach materials, monitoring completion of assigned activities, and referring performance or conduct concerns to the appropriate supervisor.
Develop outreach materials and communication strategies. Tailor information to the intended audience, coordinate required reviews and approvals, and verify that published information is accurate and current.
Develop and maintain partnerships with K-12 school districts, community colleges, universities, healthcare organizations, engineering firms, government agencies, and community organizations.
Facilitate articulation activities and transfer partnerships by coordinating meetings among faculty, academic departments, advisors, articulation officers, and other appropriate representatives; compiling relevant program and curricular information; documenting discussion items; and tracking follow-up activities.
Represent NSME at regional consortiums, community events, and collaborative meetings and communicate relevant information to NSME leadership.
Maintain program databases and participant records including application, eligibility, enrollment, attendance, service, and outcome information required by the applicable grant or program.
Review records for completeness and accuracy, follow up regarding missing information, and maintain records in accordance with applicable confidentiality and record-retention requirements.
Collect, analyze, and report grant performance metrics.
Prepare reports for funding agencies using established reporting requirements and templates.
Coordinate contributions from project personnel, verify supporting data, monitor reporting deadlines, incorporate requested revisions, and route reports for review and approval.
Coordinate travel and project logistics including preparing or collecting required travel documentation, arranging approved transportation and lodging, preparing itineraries, communicating travel requirements to participants, and assisting with reimbursement documentation in accordance with university procedures.
