About The Position

In the Department of Obstetrics and Gynecology, Division of Gynecologic Oncology, we are one of the largest groups dedicated to women's cancer care in the Rocky Mountain region and the United States, with unsurpassed surgical and medical expertise. Our group of 13 gynecologic oncologists, 2 physician assistants, and advanced pelvic surgeons offer state-of-the-art surgical interventions, cutting-edge chemotherapy, and a vast array of clinical trials. We currently have an opening for a New Patient Scheduler. The individual in this position will function as the liaison between the patient and the providers for all non-clinical issues, including scheduling office visits and procedures within the clinics, communicating pre-appointment instructions and appointment confirmations, obtaining records and pathology slides, and insurance verifications as necessary. The New Patient Scheduler will NOT disseminate any clinical information such as diagnosis, test results, or post-care instructions. They must be able to analyze faculty availability when scheduling patients for new patient visits, understand the length of time needed for a particular visit type, and schedule patients appropriately. They must be able to identify conflicts in these schedules, review them with the appropriate physician, and resolve them in a timely manner. This position interacts with patients, faculty, scheduling staff, research staff, clinic staff, hospital and department administration, and insurance representatives daily in providing support for scheduling appointments and surgeries. This position may also support some administrative needs of assigned providers. This position will work under the direction of the Gynecologic Oncology Scheduling Supervisor.

Requirements

  • One (1) year of relevant experience in an occupation related to the work assigned to this position
  • A combination of related education and/or relevant experience in an occupation related to the work assigned equal to one (1) year

Responsibilities

  • Assist with registering and scheduling new Gynecologic Oncology patients at our main campus and satellite locations.
  • Assist with procuring new patient medical records in a timely manner.
  • Collaborate with clinical care team to determine appropriate scheduling and specialty care.
  • Review the Gynecologic Oncology referral workqueue each day and schedule patients from this list according to the Cancer Center protocol.
  • Route correspondence to referring physicians and other appropriate care providers.
  • Ensure insurance authorizations are obtained for new patient consultations prior to scheduled appointment.
  • Shared maintenance of the Gynecologic Oncology clinic master schedule.
  • Share in answering incoming telephone calls from patients and referring physicians.
  • Potential to assist with scheduling Gynecologic Oncology OR cases as directed by clinic nursing staff and physicians.
  • Assist with scheduling return patient visits and gathering medical records for satellite locations.
  • Provide administrative support to Gynecologic Oncology faculty as needed.
  • Perform broad range of high-level administrative duties as requested.
  • This individual may be required to assist out-of-town patients with information regarding hotel accommodations.
  • This individual may need to request approval from the Cancer Center Medical Director for an indigent patient and communicate this information to the patient or referring physician.
