Requirements

Minimum of two years of patient coordination, medical front office, scheduling, or healthcare administration experience required.
Experience with insurance verification, prior authorizations, and medical terminology required.
Excellent organizational, communication, and customer service skills.
Strong computer proficiency and EMR experience required.
Ability to prioritize multiple tasks while maintaining exceptional attention to detail.

Nice To Haves

Bachelor's degree preferred.
Oncology, imaging/radiology, or specialty medical practice experience strongly preferred.
Experience obtaining and reviewing medical records preferred.
Spanish-speaking candidates preferred.

Responsibilities

Serve as the primary point of contact for all new patient inquiries via phone, email, online requests, and physician referrals.
Coordinate the complete intake process for new patients, ensuring a seamless and compassionate onboarding experience.
Schedule initial consultations and diagnostic appointments based on physician availability and clinical priorities.
Obtain, review, and organize outside medical records, pathology reports, imaging studies, laboratory results, and referral documentation prior to patient appointments.
Verify insurance eligibility and benefits, obtain required authorizations, and accurately enter insurance information into the EMR.
Coordinate communication with referring physicians' offices to ensure all required documentation is received before the patient's visit.
Educate patients on appointment expectations, required documentation, and next steps throughout the intake process.
Monitor new patient scheduling to ensure timely access to care and adherence to departmental scheduling protocols.
Collaborate closely with physicians, nursing staff, imaging, radiation oncology, infusion, laboratory, and ancillary departments to facilitate coordinated patient care.
Maintain accurate documentation in the EMR and generate tasks as needed to ensure efficient follow-up.
Provide exceptional customer service while demonstrating empathy, professionalism, discretion, and excellent communication skills.
Support front office operations by answering phones, greeting patients and visitors, directing calls, and assisting with additional administrative duties as needed.
Ensure compliance with HIPAA regulations and Beverly Hills Cancer Center policies and procedures.
