About The Position

This full-time position in the Sleep Lab/Clinic focuses on coordinating the initial evaluation and appointment process for new patients. The role involves registering patients, scheduling appointments, managing authorizations, and requesting medical records. Key responsibilities include admitting patients, completing financial paperwork, and ensuring financial clearance. The position also contributes to clinic flow and efficiency data collection, providing recommendations for process improvement. The coordinator must possess excellent communication skills, be comfortable with computers and medical terminology, and have in-depth knowledge of insurance types. This role provides back-up to the admitting coordinator and assists with general clerical duties.

Requirements

  • High school or equivalent
  • Excellent communication skills, including the ability to speak, read and write English proficiently.
  • Comfortable with computers and medical terminology.
  • In-depth knowledge of all insurance types.
  • Familiarity with Word processing, Microsoft Outlook.
  • Analytical and problem-solving skills including ability to analyze patient data from multiple systems.
  • Quality management skills including ability to identify quality metrics and tracking of complex regulatory requirements.

Nice To Haves

  • Degree in related field
  • 2 years Experience in acute care or ambulatory care setting.
  • Experience with financial clearance.
  • Knowledge of medical terminology.
  • Familiarity with GE Centricity Business, Cemer, PBAR and scheduling software.

Responsibilities

  • Register, schedule appointments, authorizations, and request medical records prior to all new patient appointments.
  • Assist and coordinate patient appointments and follow-up, focusing on the initial evaluation.
  • Admit and complete financial paperwork and financial clearance for new and existing potential patients.
  • Participate in clinic flow and efficiency data collection metrics and provide recommendations for process improvement.
  • Complete TAR requests, follow-up with Medical Groups and IPA's for follow-up visits.
  • Assure all notes of verification, eligibility and authorizations are documented in medical records.
  • Assist patients with all financial needs and assure when LOA's or contract issues arise that they are clear prior to the patient being seen.
  • Schedule patient's evaluation and clinic appointments in a timely manner, and at the request of the physician, while accommodating patient's needs.
  • Act as a liaison between USC and referring physicians by completing outreach activities including meeting with large referral sources on a monthly basis, visiting dialysis centers and assisting with producing marketing materials.
  • Analyze data in Cerner to track key patient statistics including time from referral to listing, total time to complete evaluation and patient satisfaction.
  • Act as a patient liaison and single point of contact for patients and caregivers and take accountability for their patient experience.
  • Greet patients in a courteous and professional manner.
  • Participate in clinic flow and efficiency data collection metrics and provide documentation and recommendations for process improvement as well as participating in the implementation of new processes.
  • Participate in Quality Management activities such as assisting Survey Readiness and analyze quality data and make recommendations for compliance.
  • Refer patients to internal supportive care services: dietician, social worker, financial counselor, chaplain, etc.
  • Educate and encourage patients on ways to keep and update their own plan of care and medical records.
  • Escort patients to other departments if needed, provide directions to other departments within USC system.
  • Assist patients to overcome barriers to care, e.g. transportation, childcare, coordination of translation services, financial assistance by directing patients and caregivers to community resources and services.
  • Facilitate communication between patient and caregivers, and all members of the care team, including physicians, nurses, lab, etc.
  • Communicate all changes with patient and case information to all involved personnel.
  • Work with various hospital personnel to resolve issues and accommodate patient.
  • Demonstrate flexibility in covering other staff members for sick time, vacation, or leave of absence.
  • Work independently and in a team setting.
  • Maintain an open line of communication with management and other staff and always demonstrate a professional demeanor.
