About The Position

The Neighborhood Administrative Coordinator provides administration, coordination, and leadership for specialized areas including Conferences, Service Centers, Safety and Security (keys and building access), Housing, and Customer Service. This role involves training, supervising, and evaluating a team of student supervisors who manage over 60 student employees at residence hall service centers. The coordinator is responsible for the coordination, implementation, and maintenance of operational services for a neighborhood of approximately 2800 residents. This position collaborates with various university departments such as Business Offices, RHS Payroll, Safety and Security Services Coordinator, Facilities, Residence Education, Culinary, academic departments, and University Conference Services. The Neighborhood Administrative Coordinators report to the Assistant Director for Residence Hall Operations.

Requirements

  • Knowledge equivalent to that which would normally be acquired by completing a four-year college degree program in business, social science, education, or a related field.
  • One to three years of related and progressively more responsible or expansive work experience in performing tasks related to residence hall operations.
  • Experience leading and supervising groups of 60 or more student employees.
  • Experience with word processing, spreadsheet, and presentation software.
  • Equivalent combination of education and experience.

Responsibilities

  • Serves as administrative operational contact for the neighborhood engagement center and/or neighborhood and provides administrative leadership for conferences, neighborhood and engagement center initiatives, and training.
  • Coordinates neighborhood building access process.
  • Performs duties related to a residence hall or apartment complex to facilitate operations.
  • Provides administrative leadership for business functions relating to conference and room bookings, tracking expenditures, hoteling, and handling Business and Finance Services reports and financials.
  • Trains, develops, supervises, evaluates, and schedules student team members who work at service centers and the business office.
  • Provides service for summer school operations.
  • Serves as a liaison with residents and guests, providing referrals to University services and resources, and responding to and resolving issues and concerns.
  • Aids with conferences, including registration, customer service, bookings, and updating electronic tracking systems.
  • Assists in developing and coordinating the implementation of policies and procedures.
  • Oversees operations to maintain quality control and meet deadlines.
  • Forecasts needs and orders supplies to maintain inventory levels.
  • Prepares special and regular financial or other reports and maintains unit records.
  • Maintains health and safety standards to ensure compliance with University, State, and Federal rules and regulations.
  • Interacts with Directors/Administrators to receive assignments, provide information, and coordinate schedules.
  • Interacts with neighborhood partners to coordinate services for residents and guests.
  • Interacts with students, on-call staff, temporary staff, and volunteers to provide training and supervision, coordinate work, resolve problems, and exchange information.
  • Interacts with Departmental Supervisors to coordinate activities, discuss personnel needs, and upcoming functions.
  • Interacts with Students/Public/Customers to exchange information, resolve problems, and/or provide services.
  • Interacts with External Groups to exchange information and coordinate services.
  • Reports to work as scheduled during university closures, modifications, or suspensions due to emergencies.
  • May be called upon to work on-site if a remote work agreement is in place.
