About The Position

The Administrative Assistant Intern serves as a key point of contact for the organization while providing high-level support for departmental projects. This role balances front-office hospitality and security with behind-the-scenes administrative work, including data tracking, research, and event coordination. The ideal candidate is a proactive learner who operates with a high degree of discretion and professionalism. NANA will provide lodging and transportation for applicants outside the Anchorage/Matsu Valley area. For more details, feel free to reach out! Requirements

  • Applicants must be a shareholder of NANA Regional Corporation, Inc., or a direct descendant of a shareholder. In accordance with NANA's Shareholder Preference Hiring Policy, priority will be given to NANA shareholders first, followed by shareholder descendants
  • Must be 18 years or older.
  • Must be currently enrolled in college or a vocational school full-time and have completed one semester of postsecondary education.
  • Confidentiality: Must operate with absolute discretion regarding private shareholder and company information.
  • Reliability: Demonstrates consistent punctuality and commitment to scheduled hours.
  • Organization: Strong ability to manage multiple tasks, from greeting guests to filing project data, without losing attention to detail.
  • Professionalism: Maintains a warm, helpful attitude while upholding strict safety and security standards.
  • The position requires reading, detailed work, problem solving, interactions with other companies including other NANA companies, reasoning, math, language, presentations, verbal and written communication, analytical reasoning, will require the employee in the position to manage multiple concurrent tasks, and handle constant interruptions.

Responsibilities

  • Welcoming Presence: Greet guests and shareholders warmly; ensure a safe and professional environment by following all check-in and safety protocols.
  • Communication Hub: Manage the multi-line phone system, direct calls, and transmit messages. Direct job seekers to the NANA website for current vacancies.
  • Security & Access: Screen visitors, maintain entry logs, and issue temporary access badges. Assist with building evacuations and monitor security alarms in coordination with Security Officers.
  • Shareholder Support: Provide and verify shareholder forms; assist with copying, scanning, and faxing documents to ensure records are processed accurately.
  • Special Projects: Conduct research, document findings, and perform clerical tasks for specific departmental initiatives.
  • Information Management: Maintain and organize files and digital documents to track data and information gathered during projects.
  • Content Creation: Assist in drafting professional documents and preparing presentations for staff or management.
  • Outreach: Make professional outgoing calls to support project goals and gather information as needed.
  • Event Coordination: Provide logistical support for meetings and special events, ensuring all materials and activities are organized.
  • Environment Upkeep: Maintain a clutter-free and organized reception area, supply room, and computer stations.
  • Inventory Control: Monitor basic supply levels and notify the supervisor when orders are necessary.
  • Administrative Efficiency: Assist the Front Office Manager with daily duties, update internal directories, and provide notary services (if qualified).
