About The Position

The Outreach, Recruitment & Educational Partnerships (OREP) department is responsible for the outreach and recruitment of prospective domestic undergraduate students and plays a key role in enrollment planning and reporting. OREP is charged with promoting the image of the University, its programs and uniqueness; attracting and recruiting a diverse and high achieving pool of applicants; developing relationships and collaborations with campus external and internal constituents; and, providing timely, accurate and comprehensive services to students and campus through point of inquiry and enrollment. OREP is responsible for compliance with federal, state, CSU system and University requirements and the timely and accurate dissemination of information to students, parents, campus constituents, the CSU Chancellor's Office, and the external community. OREP provides dedicated quality outreach and recruitment programs and strategic communication to prospective students, schools and community organizations and the delivery of student services that support recruitment, college readiness, and persistence. Programs include domestic undergraduate outreach, out-of-state recruitment, and campus tour programs. OREP reports to the Presidential Associate for Community Partnerships, Engagement and Outreach in the Office of the President.

Requirements

  • Bachelor's Degree - Equivalent to a bachelor’s degree in a related field. Relevant education and/or experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.
  • DL NUMBER - Driver License, Valid and in State
  • Entry-level professional who applies basic professional concepts to resolve problems of limited technical scope and complexity. Normally operates under detailed guidelines and work is often reviewed for accuracy. Assignments may be routine in nature and involve performing various duties related to executing university strategies. Follows standard practices and procedures. Conducts analysis of alternative options and situations utilizing data from which answers can be readily obtained. Routinely engages various stakeholders to create and implement campaigns across various communication channels.
  • General knowledge of marketing, branding, and/or communications, and/or public relations.
  • General knowledge of applicable copyright and other laws pertaining to written materials, news media and confidentiality.
  • Ability to appropriately handle sensitive and confidential information.
  • General knowledge and understanding of media outlets including print, television, and radio.
  • Ability to work with the media for the coverage of events.
  • Skill in following guidelines and providing input and feedback.
  • Strong communication and interpersonal skills to work effectively in a diverse environment.
  • Ability to analyze information and data and use reasoning to summarize into clear and succinct statements.

Nice To Haves

  • Experience with Graphics/Web Design through tools such as, but not limited to, Cascade and Adobe Office.
  • Experience creating and editing engaging graphics or/and video content for social media, website, and marketing projects.
  • Experience with web content management.
  • Copy editing and proofreading experience.
  • Knowledge of accessible content best practices on social media.
  • Customer service-oriented with experience communicating in a public-facing role.
  • Two years of social media management experience (oversight of Facebook, Twitter, and Instagram accounts) for a company, institution, or brand.

Responsibilities

  • Develop & Produce straightforward graphic materials, including but not limited to invitations, newsletters, brochures, web banners, booklets, flyers, agendas, and digital ads for OREP projects, programs, and events.
  • Follow written specifications, style guides, and brand standards when developing visual assets.
  • Support layout and pre-press production processes, preparing final files for both digital and print distribution.
  • Contributes to the development of visuals using a basic level of creativity and ingenuity based on established marketing goals and concepts.
  • Collaborate with supervisors and senior team members for artistic direction to ensure consistency in style and thematic alignment across project components.
  • Apply standard procedures and workflows while making routine design decisions within established guidelines.
  • Support the development and support the implementation of the unified marketing plan aimed at future students.
  • Ensure all graphic and digital communications are clear, accurate, and aligned with institutional messaging.
  • Provide feedback and edits to improve communication materials.
  • Draft and update communication timelines to ensure timely delivery of messages.
  • Ensure all communication efforts support recruitment and enrollment goals.
  • Coordinate the production of printed materials and communication pieces to support the department.
  • Utilize our various systems for engaging future students and coordinate timely follow- up with the department.
  • Assist with the creation, development, production and distribution of the OREP newsletter, ensuring it is informative and engaging.
  • Draft and maintain a virtual graphics toolkit with templates suitable for various platforms.
  • Draft, write, edit, and proofread digital content for email, social media, and web-based platforms targeting prospective students.
  • Maintain content calendars for social media; monitor engagement and respond to inquiries.
  • Utilize Slate CRM and CMS tools to manage communications and segment audiences.
  • Analyze engagement metrics (e.g., email, web, and social media) to assess communication effectiveness and recommend improvements.
  • Assess new digital tools (e.g., chat, texting) for improved engagement.
  • Ensure web content remains updated, accurate, and relevant to target audiences.
  • Help implement market research insights into outreach and marketing campaigns.
  • Consult with Strategic Communications and academic departments to align visual and written content with university messaging and branding standards and provide recommendations on messaging and communication approaches.
  • Coordinate with faculty, staff, designers, and photographers on publications and promotional efforts.
  • Collect stakeholder feedback to inform and refine multimedia marketing strategies.
  • Support staff and student assistants in communication, design, and outreach projects.
  • Provide live social media updates and real-time coverage at OREP signature events.
  • Draft multimedia marketing plans and post-event reports capturing key metrics and highlights.
  • Capture photos and stories for post-event communications and archives.
  • Ensure communication materials and signage are available and distributed appropriately.
  • Collaborate with Strategic Communications for media coverage and promotional efforts.
  • Distribute surveys and reviews post-event feedback to improve future events.
  • Maintain and update a database of stakeholders for event invitations and communications.
  • Participate in all OREP and divisional staff development, staff meetings, and major staff events to promote the University.
  • Conduct testing of systems utilized by OREP (e.g., Cal State Apply, Slate information/communication system, etc.)
  • Adhere to laws and policies established regarding computer data, records, accounting, and personnel by California State University, Cal Poly Pomona, and OREP to demonstrate sensitivity and appropriate conduct as a university employee.
  • Adhere to and advises prospective students properly regarding CSU admission policies.
  • Prepare and utilize outreach reports detailing application, admit, enrollment trends, and reviews prospective student inquiries to determine yield strategies.
  • Performs administrative and programmatic duties as assigned, including providing generalist support at the department service desk and telephones.
  • Works extended hours, weekends, and evenings to support OREP programs and services.
  • Rotates on a needed basis to perform customer service duties and support the front- facing counter of OREP, as determined by OREP leadership and/or operational need.
  • Ensure compliance and maintain the integrity of prospective students, applicants, and student records; staff members are strictly prohibited from making unauthorized changes without explicit HEERA permission.
  • Other duties as assigned.
