Job Summary: As the Multi-site Maintenance Manager, responsible for overseeing the maintenance operations of multiple properties, including supervising the maintenance team, managing budgets, coordinating vendor relationships, and ensuring the timely and cost-effective completion of projects. This leadership role combines strategic planning, resource management, and operational oversight with occasional hands-on work to support team needs. The primary duty of this role is the management of the maintenance department and personnel.

Responsibilities

  • Directly supervise and manage the work of maintenance employees.
  • Plan, assign, and review daily and weekly work schedules for the maintenance team.
  • Conduct performance evaluations, provide coaching, and oversee training for maintenance staff.
  • Make recommendations regarding hiring, promotion, discipline, and termination that are given significant weight in final decisions.
  • Ensure compliance with all company policies, safety regulations, and applicable codes.
  • Develop, manage, and monitor the annual maintenance budget, including labor, materials, and contracted services.
  • Approve invoices, monitor expenditures, and ensure cost-effective use of resources.
  • Establish and oversee preventative maintenance schedules.
  • Oversee large-scale repair or improvement projects, including project planning, bidding, vendor selection, and quality control.
  • Maintain vendor relationships and negotiate service agreements.
  • Evaluate and implement operational improvements for efficiency and quality.
  • Manage and prioritize maintenance requests, ensuring timely and quality completion.
  • Lead make-ready and turnover processes for vacant homes to prepare for new residents.
  • Participate in strategic planning for property upkeep, capital improvements, and facility upgrades.
  • Coordinate with other department leaders to align maintenance activities with operational goals.
  • Develop and implement preventative maintenance programs for homes, community infrastructure, and equipment.
  • Conduct regular inspections to identify risks, maintenance needs, and code violations.
  • Ensure all maintenance activities meet safety standards and compliance requirements.
  • Schedule and supervise third-party vendors for specialized or large-scale maintenance projects.
  • Review and approve vendor invoices and ensure work meets quality standards.
  • Occasionally assist with repairs and maintenance work to meet urgent needs or provide specialized expertise.
  • Support the team in troubleshooting complex issues in plumbing, electrical, carpentry, HVAC, or other trade areas as required.
  • Serve as a technical resource for maintenance staff to ensure work meets professional standards.
  • Respond to escalated maintenance issues and resident concerns with professionalism and urgency.
  • Support community cleanliness and curb appeal by overseeing landscaping, trash removal, and groundskeeping.
  • Promote a safe and welcoming environment by proactively identifying and resolving safety hazards.
  • Ensure compliance with all federal, state, and local safety regulations, including OSHA and Fair Housing guidelines.
  • Train team members on safety procedures and ensure use of protective equipment.
  • Maintain accurate documentation of incidents, inspections, and maintenance activities.
