About The Position

Under the supervision of the MRI Scheduling Supervisor/Patient Services Facilitator, the MRI Patient Registration Coordinator will assist with the delivery of patient care at Lahey Outpatient Center Danvers, but also at times, in the role of tech aide positioning patients and assisting the technologist as required. This role involves greeting patients, managing registrations, collecting co-payments, performing MRI safety screenings, arranging transport services, and handling patient requests for reports and CDs. The coordinator also plays a role in MRI scheduling, pre-screening patients, and maintaining office supplies and cleanliness. Secondary responsibilities include performing technologist aide functions such as screening, changing, and positioning patients, as well as assisting with lifting and cleaning. The role requires adherence to confidentiality and Lahey Hospital and Medical Center's standards of behavior.

Requirements

  • High school graduate required.
  • Knowledge of PC computer systems.
  • Ability to learn basic scheduling software and work with word processing applications.
  • BLS certification.
  • 3-4 years’ experience in a fast-paced health care medical facility setting.
  • Typing speed 50 WPM.
  • Third-party payor knowledge and insurance background required.
  • Exceptional communication and organizational skills to interact with providers, technologists, patients, and radiologists.
  • Ability to work independently as well as in a team.
  • Self-motivated.
  • Ability to work in a healthcare setting.
  • Knowledge of medical terminology.
  • Ability to perform research and troubleshoot.
  • Excellent communication and organizational skills.
  • Must maintain a professional manner and appearance.
  • Must be vaccinated against influenza (flu).

Responsibilities

  • Greets patients in a prompt and courteous manner.
  • Answers/directs calls and pages when required.
  • Registers patients accurately through the computer, verifying identification, scanning insurance cards, obtaining consent, scanning documents, wristbanding patients, and updating registration, guarantor, and insurance fields to ensure eligibility, benefits, copay, and preauthorization are in place.
  • Collects co-payments and ensures all patients without insurance pay at time of scan.
  • Reconciles collections in EPIC, closes cash drawer, and delivers payments before end of shift.
  • Performs MRI safety screening with patients for metal implants and other contraindications.
  • Makes necessary arrangements for outpatient ride assistance.
  • Arranges ambulance service for inpatients and transport services for in-house patients.
  • Mails transcribed reports to patients and/or additional physicians as per patient request.
  • Transcribes, scans, and files all outpatient orders into Epic.
  • Reviews orders for accuracy in accordance with MRI Protocol Manual.
  • Sorts and distributes mail.
  • Copies and prepares MRI safety screening form packets.
  • Contacts patients regarding arrangements for CD pickup.
  • Processes patient and referring provider requests for MRI results reports and CDs of images.
  • Schedules/reschedules patient appointments.
  • Performs phone MRI safety pre-screening, including follow-up on GFR lab results, orbital x-rays, and ensuring all metal implants and contraindications research is completed.
  • Documents all important patient correspondence, such as operative notes, insurance updates, and implants.
  • Schedules inpatients as needed.
  • Backs up MRI Schedulers on the ACD system when call queues are busy.
  • Emails the Radiologist daily coverage schedule to all MRI Department staff.
  • Monitors front office inventory levels and purchases office supplies as necessary.
  • Provides courteous interaction between the MRI Department and referring hospitals/physicians’ offices.
  • Works with MRI Scheduling Supervisor/Patient Services Facilitator and Chief Technologist in implementing policies regarding patient care.
  • Completes special projects as requested by management.
  • Reads and responds to all e-mails appropriately and promptly.
  • Maintains clean waiting rooms and coffee station.
  • Completes all annual safety training for MRI and Hospital mandatory Healthstream learning modules.
  • Performs technologist aide functions as needed, including screening patients, changing patients, assisting with lifting/positioning, obtaining CDs, and cleaning MRI scanner rooms.
  • Interviews patients, obtains pertinent clinical history, and informs patients about the exam.
  • Assists patients with changing and with getting in and out of the scan room.
  • Assists Technologists with positioning of patients.
  • Conducts proper discharge of patients.
  • Confirms with the technologist that the patient leaves with the correct CD.
  • Ensures the stocking of scan rooms and linen closets.
  • Assists claustrophobic, elderly, pediatric, and inpatients.
