About The Position

Under the general supervision of the Clinical Reception and Authorization Coordinator, this role performs duties to support the clinical and business operations of the MRI department and medical practice. The position ensures services are provided professionally, timely, and courteously, adhering to federal and state laws regarding patient privacy (PHI). Responsibilities include greeting and discharging patients, managing check-ins, verifying demographics and insurance, scheduling appointments, handling patient paperwork, answering phones, managing medical records, and acting as a liaison between patients and staff. A key aspect of the role involves conducting audits of incoming orders, understanding health screening questions and MRI risks, and performing safety screenings for patients to ensure compliance with MRI manufacturer guidelines and ACR requirements. The position also involves assisting technologists as a medical assistant/tech aide when needed, explaining procedures to patients, and managing faxes and voicemails.

Responsibilities

  • Greet and discharge patients/visitors in a prompt, courteous, and helpful manner.
  • Arrive patient via computer system upon check-in; verify demographics, insurance eligibility, referrals and authorizations.
  • Scan photo ID, insurance card and HIPPA forms in EMR.
  • Obtain referrals/authorizations, if necessary.
  • Provide patients with appropriate new patient paperwork.
  • Schedule appointments.
  • Perform daily chart checks for future visits to include insurance verification, referrals and authorizations.
  • Scan/import clinical forms daily.
  • Answer phones, transfer and/or direct calls.
  • Obtain Medical Record Release paperwork, when requested by patient and scan into EMR.
  • Maintain and distribute medical records for patient pick-up.
  • Ensure release form has been completed and payments received, when applicable.
  • Act as liaison between patient and other staff, including medical assistants, physicians, physician assistants, administrative assistants, etc.
  • Maintain excellent communication with technologist and patients regarding wait times or physician delays.
  • Conduct a thorough and detailed audit of incoming orders, assuring that both the order and clinical information matches the exam and authorization and informing physician and/or Medical Assistant when correction is needed.
  • Understand health screening questions and possible risks associated with MR exams.
  • Screen every patient to verify safety using MRI manufacturer guidelines including but not limited to Gauss/Cm, magnet strength, placement and duration of all implants.
  • Obtain all implant information and contact manufacturer when needed to ensure patient safety before scheduling MRI and import all documents obtained for MRI clearance as per safety guidelines.
  • Ensure prior diagnostic testing clearance is obtained, including X-rays and/or proper bloodwork/GFR and required documentation including operative notes are scanned into patient's chart.
  • Assist the technologist acting as medical assistant/tech aide when needed.
  • Provide and explain exam and preps to patients utilizing their knowledge of MRI safety to resolve patients' questions or concerns.
  • Ensure that incoming faxes are delivered and/or acted on immediately.
  • Retrieve and respond to voice mail messages in a timely manner.
  • Maintain patient confidentiality.
