About The Position

The Move-In Coordinator (MIC) will assist assigned FKH Markets in assisting customers through the new resident onboarding process through lease signing and security deposit collection prior to market hand-off for coordination of actual move-in. The MIC position works closely with assigned districts to facilitate resident onboarding process after application is approved in keeping with established Key Performance Indicators (KPIs).   To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Requirements

  • High School Diploma or equivalence
  • Minimum 1-year experience in administrative or similar role
  • Intermediate proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • General knowledge of reading, writing, and evaluating project specifications and scopes of work
  • Sales and Marketing— Knowledge of principles and methods for showing, promoting, and selling products or services. This includes marketing strategy and tactics, product demonstration, sales  techniques, and sales control systems.

Responsibilities

  • Review application approvals daily and contact customer to confirm needed data for lease creation and issuance.
  • The MIC will monitor all assigned customer move-ins and assist with any minor escalations coming from our customers or from our Districts.
  • MIC will identify if future resident is a Housing Choice Voucher (HCV)  holder, moving into an HOA requiring additional application for approval OR if a municipal inspection will be required; while MIC is not responsible for coordinating with these external entities, they need to guide the future on appropriate move-in time frame.
  • The MIC will assist the future resident in providing applicable HOA application.
  • Confirming that the home is available for residency (not a ‘for sale’ home, etc.).
  • Verify that all move in funds are paid (48) hours prior to the lease start date.
  • Provide proof of utilities for applicable markets.
  • MIC will conduct approval to lease issuance, lease sign and security deposit payment within company SLAs.
  • The MIC will meet our Prelease completion KPIs.
  • Represent FKH to prospective residents in a courteous and professional manner with a focus on putting the customer first; obtaining 5-star reviews when possible.
  • Collaborate with Leasing Agents and Central Sales to meet established leasing goals.
  • Assist existing residents wishing to transfer to other FKH properties.
  • Adhere to all local, state, and federal laws governing this industry, including the Fair Housing Act, Americans with Disabilities Act, Fair Credit Reporting Act, and any other laws pertaining to real estate or leased properties
  • Assist clients with issuing Payments, Refunds, and transferring funds.
  • Send leases to residents for signature and upload fully executed lease to the property management software.
  • Collect Deposits, hold fees, and initial funds regarding Approved applications.
  • Conduct daily review and follow-up updates for pending Pre-lease activities.
  • Communicate any home condition feedback to the Market.
  • Always involve agent, as appropriate, on licensed, follow-up activity.
