About The Position

I. Position Summary: The NewBridge Move Administrator is responsible for coordinating details with the assistance of all relevant departments for move-ins and move-outs for independent living members and for portions of the assisted living residents at NewBridge on the Charles. Requirements

Responsibilities

  • Manages all logistics and details for independent living (IL) move-ins and move-outs; responsible for 256 IL units, including apartments, villas,s and cottages
  • Maintains an IL renovation spreadsheet that tracks the status of all unit turnovers
  • Hosts a weekly IL renovation team meeting to discuss units that are in the renovation process
  • Meets with new incoming residents to obtain their unit selections for their specific unit; selections are documented, submitted to the resident for approval, and then shared with the renovation team to commence the work
  • Acts as the primary point of contact for incoming new residents and family members
  • Along with the Member Services Manager, helps orient new independent living members to the NewBridge community
  • Responsible for the preparation of the resident profile “face sheet” to be placed in new IL resident closets as part of our File of Life preparedness system
  • Assigns independent living garage spaces and keeps track of garage inventory and assignments
  • Ensures the readiness of resident storage cages located on the premises
  • Maintains schedule for vacated assisted living (AL) units (87 total units) and coordinates with the Engineering renovation team to ensure timely turnover
  • Conducts walks of completed AL units to ensure readiness
  • Hosts a weekly AL renovation team meeting to discuss units that are in the renovation process
  • Coordinates specific after-market unit upgrades and changes in conjunction with the Director of Engineering
  • Works with outside vendors (moving companies, move managers, decorators, etc.) to ensure successful transitions
  • Works with other disciplines, as needed, including IT, housekeeping, engineering, and culinary, to ensure deadlines are adhered to and customers’ needs are met
  • A valuable member of the community life department who participates in department-related projects and decisions
  • Creates, coordinates, and strengthens partnerships with donation resources for members and families
  • Creates and updates an IL/AL move-in calendar that is distributed across various departments weekly
  • Maintains a resident move-in/move-out checklist for use by residents/families
