About The Position

The Mortgage Administrator provides end‑to‑end mortgage support by delivering professional, responsive service to People’s Group broker partners while maintaining complete, well‑organized mortgage files. Ensures all mortgage and client information is accurately verified, documentation meets policy and compliance requirements, and outstanding conditions are proactively followed up through effective pipeline management. Collaborates closely with underwriters, managers, business development teams, and legal partners to identify escalations, resolve issues, and facilitate smooth file progression and closing. Prepares and distributes solicitor instruction packages, reviews solicitor documents for alignment with commitment terms and regulatory standards, and remains current on mortgage products and underwriting policies to support timely, accurate decision‑making and an exceptional client and broker experience.

Requirements

  • 1-3 years working in mortgage administration.
  • Strong interpersonal and communication skills.
  • Ability to prioritize, multi-task, organize, and execute in a fast-paced environment.
  • Detail-orientated, with excellent organizational and follow-up skills.
  • Strong written and oral communicator.
  • Energetic works independently within the team.
  • Proficient in Microsoft Office.
  • Ability to manage risk and compliance, and demonstrate the highest standards of integrity and ethical conduct.
  • Work well in a team and have confidence dealing with people and addressing issues.
  • Sound problem-solving skills, concise attention to detail and the tenacity to complete the task properly.

Responsibilities

  • Deliver exceptional, professional, and courteous service to Peoples Group broker partners.
  • Maintain well-organized and complete mortgage files.
  • Verify and validate all required mortgage and client information for accuracy.
  • Review documentation for compliance with file-specific conditions and company policies, ensuring follow-ups with mortgage brokers for any outstanding requirements.
  • Apply strong pipeline management skills by conducting regular follow-ups with mortgage brokers and partners to collect outstanding documentation as outlined in the mortgage commitment.
  • Identify escalation items and collaborate with Underwriters or Managers to resolve them efficiently.
  • Prepare and send instructional packages to FNF for solicitors, along with relevant supporting documents.
  • Ensure all conditions are met and documentation is received, reviewing solicitor-prepared mortgage documents to confirm alignment with the terms of commitment and compliance with company policies and regulatory guidelines.
  • Demonstrate a commitment to delivering outstanding personalized service.
  • Build and maintain strong working relationships with Underwriters, Business Development teams, and Lawyers to facilitate the smooth and efficient closing of mortgage files.
  • Stay current on applicable mortgage underwriting policies, procedures, and products.
  • Provide timely and accurate responses to Mortgage Brokers and partners.
