About The Position

Optima Dermatology is recruiting an experienced Mohs Hybrid Medical Assistant / Scheduling Coordinator to join our growing Dermatology and Medical Aesthetics group in Manchester, NH. This is a dual-role position responsible for supporting the Mohs surgery team through both direct patient care and administrative coordination. The individual will divide their time between clinical responsibilities in the Mohs suite and administrative duties related to patient communication, surgical scheduling, prior authorizations, and care coordination. The ideal candidate is highly organized, patient-focused, and able to thrive in a fast-paced surgical environment while ensuring exceptional patient experience and continuity of care.

Requirements

  • High school diploma/GED required.
  • Licensed Medical Assistant or further nursing degree
  • Minimum of one year of previous experience in a dermatology medical office preferred
  • Minimum of 2–3 years of experience in medical scheduling or patient services; dermatology or surgical scheduling experience preferred
  • Demonstrated ability to take patient vitals, perform injection/immunization procedures, complete charting and documentation, prepare exam rooms, handle infectious waste, utilize sterile techniques, and perform routine lab procedures and specimen collection
  • Strong verbal communication skills to develop patient rapport and effectively communicate with patients, their families, and pharmacies regarding orders
  • Strong written communication skills for charting and documentation
  • Demonstrated ability to maintain patient confidentiality
  • Ability to work effectively with peers in a team environment
  • Demonstrated knowledge and skills necessary to provide appropriate care based on the age of the patients served
  • Prior experience coordinating Mohs procedures strongly preferred
  • Strong understanding of insurance verification and prior authorization processes
  • Excellent organizational skills with the ability to manage high-volume, detail-oriented scheduling
  • Proficiency with EMR systems, scheduling platforms, and Microsoft Office
  • Experience utilizing Modernizing Medicine/EMA EMR highly preferred

Responsibilities

  • Prepare patients for Mohs surgery and assist providers during surgical procedures.
  • Set up and break down surgical rooms and maintain sterile fields.
  • Prepare instruments and supplies for procedures.
  • Clean, sterilize, and maintain surgical instruments in accordance with infection control standards.
  • Perform suture removals and wound checks under provider direction.
  • Complete post-operative phone calls and provide patient education regarding wound care and recovery.
  • Assist with documentation and note completion in the electronic medical record (EMR).
  • Prepare and review patient charts prior to surgery, ensuring pathology reports, referrals, photos, and clinical information are available.
  • Maintain adequate inventory of surgical supplies and notify leadership of supply needs.
  • Support clinic flow to ensure efficient patient care and provider productivity.
  • Relay pathology and biopsy results to patients as directed by providers.
  • Coordinate and schedule Mohs surgery procedures and related appointments.
  • Obtain urgent (STAT) referrals, prior authorizations, and insurance approvals to prevent delays in patient care.
  • Perform phone triage and route clinical concerns appropriately.
  • Communicate pre-operative instructions and surgery expectations to patients.
  • Coordinate care with referring providers, insurance companies, pathology laboratories, and outside facilities as needed.
  • Ensure all necessary documentation, referrals, authorizations, and records are obtained prior to surgery.
  • Maintain accurate scheduling templates and optimize provider schedules.
  • Respond to patient inquiries in a timely, professional, and compassionate manner.
