About The Position

The Model Coordinator is responsible for identifying, recruiting, coordinating, and maintaining talent for photo and video productions. This position builds and manages an ongoing roster of models and talent to support current and future content needs. Responsible for talent sourcing, communication, scheduling, negotiations, documentation, usage rights, travel logistics, and coordination with internal creative and production teams. Requires strong organizational and communication skills, an understanding of casting and production processes, and the ability to manage multiple talent needs and production timelines simultaneously.

Requirements

Bachelor’s degree in communications, marketing, production, fashion, photography, multimedia, or related field, or equivalent professional experience.
1-2+ years of professional experience in casting, talent coordination, creative production, agency, photo/video production, or related environment preferred.
Experience sourcing or scouting talent through traditional and non-traditional channels preferred.
Experience working with talent contracts, releases, tax documentation, usage agreements, and/or related production paperwork preferred.
Must possess and maintain a valid driver’s license. Ongoing verification of driving eligibility will be conducted to ensure compliance with company and regulatory standards.
Must be at least 21 years old to qualify for this position.
Strong ability to identify models and talent who align with a creative brief, brand aesthetic, and production need.
Excellent verbal and written communication skills with the ability to communicate professionally with talent, agents, creative teams, and business partners.
Strong negotiation and relationship-building skills.
Highly organized, detail-oriented, resourceful, and proactive.
Ability to manage multiple casting assignments, talent bookings, and production timelines simultaneously.
Ability to quickly respond to changing production schedules and last-minute talent needs.
Strong knowledge of Microsoft Office, including Outlook, PowerPoint, Excel, and Word.
Ability to create and maintain organized and easily understood talent trackers, booking sheets, casting decks, and talent databases.
General understanding of talent releases, usage rights, contracts, and production documentation.
Understanding of SAG, talent payment processes, and related paperwork is preferred.
Strong visual sensibility with the ability to evaluate talent against established creative direction.
Interest in and awareness of emerging cultural, lifestyle, social media, and talent trends.
Ability to collaborate effectively with creative individuals in a dynamic, fast-paced production environment.
Strong problem-solving and critical-thinking skills.
Ability to exercise discretion when working with talent, contracts, rates, and other sensitive information.

Nice To Haves

Experience with SAG and commercial talent processes is a plus.
Working knowledge of Adobe Creative Suite is a plus.
Passion for creative production and an interest in the outdoor lifestyle and categories Bass Pro Shops serves is a plus.
Willingness to invest time in further training and education to stay current with casting, talent, production, and industry standards.

Responsibilities

Scouts and recruits models and talent through social media, local networks, open calls, agencies, direct outreach, and other sourcing channels.
Builds, organizes, and maintains an active roster and library of vetted models and talent for current and future production needs.
Reviews creative briefs and identifies talent based on the desired look, style, availability, and project requirements.
Communicates directly with prospective talent and agents regarding availability, project details, rates, scheduling, and expectations.
Negotiates talent rates and coordinates terms in partnership with appropriate internal teams.
Maintains talent availability trackers, booking sheets, casting decks, and other production documentation.
Coordinates model bookings, fittings, shoot schedules, and production logistics.
Coordinates talent travel and related logistics when required.
Manages model and talent releases and ensures required documentation is collected and organized prior to production.
Assists with the creation of casting presentations and talent recommendations for review by creative and production teams.
Partners with Creative, Production, Project Management, and other cross-functional teams to ensure talent needs are aligned with project schedules and creative direction.
Maintains an organized talent library including relevant contact information, imagery, booking history, availability, and other production information.
Supports the management and tracking of talent usage rights, renewals, and extensions for existing campaign assets.
Coordinates with appropriate internal partners to gather approved final assets for talent when necessary.
Supports talent payment processes, including purchase orders, invoices, and required documentation.
Researches emerging talent, cultural trends, music, social media, and relevant lifestyle trends to continually expand and diversify talent resources.
Supports in-person castings, open calls, and other talent scouting activities.
Develops strong relationships with talent, agents, production teams, and internal business partners.
Maintains confidentiality and professionalism when working with talent and sensitive production information.
