About The Position

The Mobile Service Coordinator exists to keep the mobile transportation program running smoothly, coordinating every pick-up and delivery so customers never have to choose between convenience and getting their vehicle serviced. This role serves as the central point of coordination between customers, drivers, Service Advisors, Dispatch, and Shop Foremen, using OEM software to schedule, track, and document every transport from pick-up through delivery. The Mobile Service Coordinator plays an important role in protecting customer trust and dealership profitability by ensuring vehicles are transported safely and on time, reimbursement requirements are met, and every customer interaction reflects the highest standard of service.

Requirements

  • Excellent organizational skills and attention to detail.
  • Strong route-planning and scheduling ability, with skill in balancing multiple priorities.
  • Proficiency with dispatching software and vehicle-tracking technology.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Strong verbal and written communication skills for coordinating customers, drivers, and dealership staff.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Must be able to lift and move work-related items up to 30 pounds.
  • Must be able to sit, drive, and enter/exit vehicles frequently, and safely operate a motor vehicle for extended periods.
  • Must be able to pass a background check, drug screening, and Motor Vehicle Report.

Nice To Haves

  • One year or more of related transportation, dispatch, or automotive service experience preferred.
  • Manufacturer training and additional certifications as applicable.

Responsibilities

  • Schedule, confirm, and complete all daily pickup and delivery appointments with optimized routing and on-time vehicle movement.
  • Accurately use OEM software to assign drivers, track trips in real time, and maintain complete transportation records.
  • Provide proactive, clear communication to customers before, during, and after every pick-up and delivery.
  • Inspect and document the condition of all customer vehicles before and after every transport.
  • Ensure on-time pick-up and delivery percentages meet or exceed program benchmarks.
  • Properly document and submit trips to meet OEM reimbursement requirements.
  • Represent the company with professionalism, accuracy, and reliability.
  • Act with integrity, professionalism, and confidentiality at all times.
  • Communicate clearly and respectfully with customers, drivers, Service Advisors, and coworkers.
  • Follow OEM pick-up & delivery program standards and dealership operating procedures consistently.
  • Maintain high customer satisfaction standards throughout every transportation interaction.
  • Look for opportunities to improve routing, scheduling efficiency, and driver performance.
