About The Position

The Mobile Operations Administrator provides excellent and timely support to external customers of MXR Imaging Inc. / Nationwide Imaging Services ensuring the highest level of customer satisfaction onsite. Responsible for managing all tasks related to mobile operations. Manage timelines and communication between MXR and the end user.

Requirements

  • Education High School Diploma or equivalent
  • Knowledge of administrative and clerical procedures, verbal and written communication skills.
  • Maintains attention to detail and shows initiative.
  • Knowledge of computers and relevant software applications.
  • Having a keen sense of customer service principles and practices.
  • Knowledgeable in Microsoft Word, Excel and Outlook required.
  • Excellent customer service and organizational skills.

Nice To Haves

  • Preferred Some college desired
  • Experience in providing general administrative, customer service or warehouse support is preferred.
  • Knowledgeable in PowerPoint, Salesforce, and FieldAware is a PLUS.

Responsibilities

  • Manage the preventative maintenance (PM) schedules for the ancillary items and warranty on all medical mobiles (trailers).
  • Schedule PMs with vendors on the AVL to be completed timely, update case notes, create vendor purchase orders, attach PM completion documents to the case, and close the case. i.e. HVAC, Chiller, Generators, Injectors, DOT, Fire/Lights, interior and exterior of the mobile, etc.
  • Manage corrective service requests for the ancillary and warranty items on all medical mobiles.
  • Scheduling repairs with vendors on the approved vendor list
  • Update case notes & work orders in a timely / create vendor purchase orders / create vendor sales orders
  • Attach service reports to the case notes.
  • Ensure mobiles are road ready and ensure all ancillary systems on the mobile are up to spec.
  • Ensure all documents are uploaded to Salesforce and are shared with the appropriate personnel.
  • Set up vendors in Salesforce and submit supplier evaluation forms to the Quality Team.
  • Create purchase orders as needed for third party service
  • Ensure all checklists, PM reports are completed and uploaded to the correct locations
  • Update customers in a timely manner.
  • After hours corrective service AS Needed. Be ready for service calls, etc. as needed.
  • Support company-wide initiatives, policies and procedures, including Quality Management System maintenance and MXR Imaging Inc. / Nationwide Imaging Services QOP's.
  • Duties and responsibilities are subject to modification to fit the needs of the business as deemed appropriate by the executive management team. Such modifications may occur in writing or verbally.
  • Answer incoming telephone calls and direct service calls to the appropriate personnel.
  • General administrative and clerical support.
  • Communicate repair plans and schedules with customers.
  • Provide estimates for mobile repairs.
  • Maintain a clean and neat work environment.
  • Other duties as assigned.
