About The Position

Coordinate all aspects of Missions trips under the direction of the Missions Coordinator. This role involves extensive coordination of mission trips, including pricing, volunteer management, and event staffing. A significant portion of the role focuses on supporting Mission Team Leaders through regular communication, managing team lists, scheduling meetings, coordinating refreshments, and overseeing team budgeting and supply purchases. Additionally, the position handles various administrative duties such as documenting income, processing trip reports, managing t-shirt orders, ensuring all team member paperwork (applications, passports, visas, releases, insurance) is completed and submitted, maintaining team leader trip folders, and updating network drive files. The role also requires coordination with travel agents and missionaries, reserving meeting spaces, scheduling support teams, and performing Notary Public duties. Other responsibilities include managing travel agent relations, processing expenses, coordinating with the Digital Marketing team for website listings, organizing missions emphasis Sundays, preparing and leading informational meetings, maintaining the Team Leader manual, completing trip reference sheets, being on-call during trips, and coordinating airport departures. An additional duty includes assisting with the English Language Learners ministry.

Requirements

  • Two (2) years of general clerical experience.
  • Any equivalent combination of training and experience.
  • Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment; as well as English usage, spelling, grammar, and punctuation.
  • Ability to get along well with others and handle confidential matters.
  • Ability to manage time and multiple priorities to meet deadlines.
  • Ability to communicate effectively and professionally orally and in writing.
  • PC skills including spreadsheet, database query and word processing.
  • Must be punctual, pleasant, and tactful with professional appearance and conduct.
  • Exhibit professionalism and always maintain confidentiality.
  • Capacity to interact positively with and provide service to others at all levels within James River Church.
  • Ability to establish and maintain effective working relationships with supervising personnel, coworkers, civic organizations, business professionals, and the public.

Responsibilities

  • Coordinating and pricing all mission trips.
  • Collaborate with the Missions Coordinator on trip selection, team leaders, and trip cost.
  • Coordinating mission volunteers.
  • Managing and staffing all mission-related booths during Missions’ emphasis and any James River Church event requiring a missions-related booth.
  • Conducting meetings, sending emails, and making calls with Team Leaders to keep them updated.
  • Coordination of the master team member lists.
  • Coordination of scheduling team meetings, agendas, etc.
  • Make eSpace reservations for meetings held at James River Church campuses.
  • Coordination of refreshments for second and fourth team meetings, and a meal for third meeting.
  • Coordination of team budgeting and purchase of supplies.
  • Coordination of income documentation and trip reports.
  • Coordination of t-shirt orders, etc.
  • Coordination of team member paperwork (applications, passports, visas, releases, insurance information, etc.) completion, filing, submission to Assemblies of God World Missions, travel agent, etc.
  • Maintain team leader trip folder/binder.
  • Maintaining up-to-date master forms and filing appropriately on the network drive.
  • Coordination with travel agent, missionary, etc. as necessary.
  • Reserve trip meetings in eSpace.
  • Scheduling dream team for missions related activities.
  • Perform Notary Public duties for Missions team members as needed.
  • Coordination with travel agent – dates, contracts, payments, etc.
  • Expense processing – flights, in-country, project funds, emergency money, etc.
  • Coordinate with the Digital Marketing team regarding mission trip listings on the James River Church website.
  • Missions’ emphasis Sunday(s) coordination.
  • Schedule and Prepare for Missions Trip Informational Meetings; be prepared to speak to attendees.
  • Maintenance of Team Leader manual.
  • Complete trip reference sheets.
  • Be “on call” during trips.
  • Coordination of team at airport on leaving day.
  • Assist with English Language Learners ministry.
