About The Position

Our mission is to provide modernized technology platforms, elevated technology support, and valuable insights, empowering our clients to excel in what they do best. The Meeting Support Specialist is responsible for supporting training rooms and event spaces, ensuring all setups are completed accurately and on time. This role will float between floors assisting Floor Hosts with meeting support needs and providing Audio Visual (AV) assistance as required. The ideal candidate is detail-oriented, service-driven, and comfortable working in a fast-paced corporate environment.

Requirements

  • 2–3 years of experience in hospitality, hotel operations, event planning, or a similar service environment preferred
  • Strong technical aptitude, including Microsoft Office Suite, Google Workspace, and AV equipment
  • Ability to stand and remain active for extended periods
  • Comfortable working in a fast-paced, high-energy environment
  • Strong communication, listening, and professional interpersonal skills
  • Ability to interact with clients at all professional levels
  • High attention to detail and strong organizational skills
  • Flexible, adaptable, and able to manage shifting priorities

Responsibilities

  • Set up training and conference rooms according to client specifications, diagrams, and event forms
  • Arrange furniture, materials, and equipment based on meeting requirements
  • Place training materials on tables as requested
  • Tape down wires and ensure all AV setups are safe and presentable
  • Move airwalls to adjust room sizes for events and training sessions
  • Ensure rooms meet client expectations including lighting, temperature, supplies, and AV needs
  • Verify rooms are properly prepared before and after meetings
  • Remove leftover materials and reset spaces after events
  • Ensure all equipment is returned to storage or properly staged for next use
  • Conduct floor walkthroughs to ensure all spaces remain clean, organized, and guest-ready
  • Monitor meeting rooms for attendance, timing, no-shows, and proper usage
  • Support Floor Hosts and assist with real-time meeting needs across floors
  • Maintain strong customer service standards and respond to in-person, email, and phone inquiries
  • Stay informed of building activities to provide accurate and timely information to guests and staff
  • Capture and document customer interactions and service updates
  • Use available tools and resources to anticipate needs and resolve issues proactively
  • Support a first-point-of-contact resolution approach wherever possible
