This position provides services as a “floater” medical support assistant based on the needs of the clinic and may support multiple departments through-out a pay period. Requirements

  • Have graduated from high school obtaining a diploma or an equivalent GED.
  • Knowledge, Skills and Abilities:
  • Have good communication and people skills.
  • Have good work ethic, being punctual and working the days scheduled to work.
  • Have working knowledge of Microsoft Windows.

Responsibilities

  • Maintains Appointment System:
  • Schedules all appointments for the assigned health center.
  • Answers all requests for appointments by mail, telephone, or in person and records time and date of appointment using the computerized electronic appointment systems.
  • Notifies patients when appointments to be rescheduled, cancelled, or missed.
  • Upon arrival of patients, performs check-in of each patient for appointments and walk-in clinic.
  • Indicates broken appointments for provider’s review, then reappoint as necessary.
  • Using word processing equipment, types and proofreads appointment reminders and patient correspondence.
  • Mails reminder of appointment letters to patients.
  • Clerical Duties:
  • Types memorandums, letters, forms, and reports in final format for the department. May type confidential materials.
  • Receives and processes all incoming appointment desk mail.
  • Using a postage weight machine and postage stamp machine; processes all outgoing departmental mail when needed.
  • Answers the telephone, taking and relaying messages and responding to telephone messages.
  • Receives visitors and assists the public by answering questions. Assists in the retrieval and research of recorded documents.
  • Organizes and maintains files of records and correspondence of both a routing and confidential nature.
  • Serves as Timekeeper for health center staff.
  • Receives and processes a variety of documents, computer entry information, and document filing.
  • Interprets routine Community Health policies and decisions as necessary, providing information to the public with regard to these policies.
  • Copies and maintains all forms and pamphlets needed for patient care in the Community Health Program.
  • Assists with preparatory and finish work community events. This includes preparation, dissemination, cleaning, and cataloging of materials needed for outside community events.
  • Assists with Community Event Clerical needs as determined by DPHN or designee.
  • Immunization Registry Duties:
  • Collects and enters historical data on immunizations into the Pawnee IHS EHR and OSIIS state registry accurately.
