About The Position

The Medical Student Education Coordinator coordinates and provides centralized support for the medical student program at KUMC – Wichita’s Surgery Department. Under the direction of the course director, this position coordinates and oversees administration of medical student courses, including the Department of Surgery Enrichment (SER) weeks, the department’s clerkship program, and advanced selective and elective courses. The coordinator supports the medical student/clerkship director(s) and department chair related to medical education and is responsible for administrative duties. This position also coordinates the surgery skills lab, which requires planning and preparing for various skills labs and proctoring Fundamentals of Laparoscopic Surgery and Fundamentals of Endoscopic Surgery exams held in the skills lab.

Responsibilities

  • Coordinate and prepare individual student schedules and course syllabi.
  • Coordinate student assignments with Ascension Via Christi Hospital St. Francis, Wesley Medical Center, and outpatient sites.
  • Schedule faculty for course rotations and activities and coordinates all logistical arrangements for courses.
  • Maintain and update accurate rotation information on the student designated programs (e.g., Blackboard, OASIS, SharePoint).
  • Serve as the primary point of contact for students and the liaison between students and the course director.
  • Obtain and collate student, faculty/resident, and rotation evaluations and distributes results.
  • Assist course director with mid-rotation reviews and reports the information via OASIS.
  • Schedule, coordinate, and proctor examinations including clinical skills and National Board of Medical Examiners shelf examination, as scheduled by ASA.
  • Notifies clerkship faculty and students of exams and exam results as appropriate.
  • Compile and tabulate school-wide oral exam grades for the surgery clerkship.
  • Participate in tri-campus comparability meetings, and reports results.
  • Use standards established by the Office of Medical Education (OME) and course director, calculates and reports the final grades for each medical student.
  • Manage visiting students’ schedules, clinical site and departmental approvals, and documents.
  • Coordinate with Academic and Student Affairs (ASA) regarding clinical catalogue, course descriptions, and SER weeks.
  • Coordinate and facilitate orientation for MS3 and MS4 students and SER weeks.
  • Maintain, review, and update clinical rotation program information in appropriate platforms.
  • Maintain confidential student and course review files including historical data.
  • Participate in and support meetings and activities associated with medical students as appropriate, e.g., elective sign-up, exam proctoring, student special interest groups, etc.
  • Provide administrative support for scheduling meetings, location, catering, and sending reminders to participants.
  • Monitor inventory of medical student learning materials, process purchasing requests and individual reimbursements.
  • Ensure appropriate faculty appointments and affiliation agreements are in place for clinical assignments.
  • Coordinates as needed with Faculty Affairs.
  • As directed perform other projects, including developing PowerPoint presentations, student data spreadsheets, and database development; coordinating special events or functions; providing support for letters of recommendation; and evaluating technological opportunities for efficiency.
  • Cross-train with residency coordinator to provide departmental coverage as needed.
  • Coordinate and prepare for regular skills labs for residents and medical students – scheduling faculty or industry partners, preparing equipment and supporting documentation.
  • Maintain spreadsheet of all skills lab activities.
  • Coordinate and conduct Fundamentals of Laparoscopic Surgery and Fundamentals of Endoscopic Surgery Certification remote testing.
  • Monitor lab supply requirements and order needed supplies.
  • Coordinate Lap Mentor and GI Mentor maintenance and repairs.
  • Coordinate skills lab access for other residency programs.
