About The Position

Under the leadership of the Quality Management and Medical Staff Services Director, the Medical Staff Coordinator is responsible for coordinating the Continuing Medical Education (CME) program and medical staff functions, assisting with practitioner credentialing and other MSS special projects as needed. This role involves interpreting guidelines, monitoring accreditation status, collaborating with committees, evaluating educational needs, researching topics and speakers, coordinating activities, collecting data, designing compliant educational activities, marketing CME, managing data systems, and developing annual budgets. Additionally, the coordinator will manage medical staff committee meetings, prepare agenda packets, take minutes, and assist with planning the medical staff annual meeting and special functions. The role also supports credentialing for CHOMP and Westland House, ensuring compliance with regulatory requirements and maintaining the integrity of electronic credential files and databases.

Requirements

  • Minimum of three years medical office, hospital or other health care experience.
  • Strong meeting management skills.
  • Advanced computer skills are required as evidenced by passing proficiency testing in MS Office Outlook, Word and Excel.
  • Demonstrated experience in all aspects of program planning.
  • Ability to be flexible, and organized.
  • Knowledge of information systems and data management.
  • Excellent written and oral communication skills, including editing and proofreading.
  • Strong interpersonal skills, teamwork, and ability to communicate effectively with medical staff members, all levels of hospital staff, and the public.
  • Ability to multi-task, working on a variety of projects at one time.
  • Bachelor’s degree required, preferably in Health Science or Education field.

Responsibilities

  • Coordinate the Continuing Medical Education (CME) program and medical staff functions.
  • Assist with practitioner credentialing and other MSS special projects.
  • Interpret written guidelines and monitor CME program to ensure continued accreditation status.
  • Interact with Medical Staff Performance Improvement Committees/Quality Management Department to assure a learning impact application of clinical practice.
  • Evaluate hospital CME needs by soliciting input from physicians and other hospital staff.
  • Research current topics and speakers to recommend educational programs and measurable objectives.
  • Coordinate and schedule CME activities and conferences.
  • Collect and compile data for reporting and accreditation purposes.
  • Design educational activities which comply with the ACCME Standards for Commercial Support.
  • Market CME activities to appropriate target audiences.
  • Manage data systems and computer systems related to committee meetings and CME program.
  • Develop annual CME budget and manage committee meeting finances.
  • Provide exceptional customer service and promote teamwork.
  • Coordinate medical staff committee/department/division meetings, ensuring preparation of agenda packets and accurate, timely completion of meeting minutes.
  • Plan and organize medical staff annual meeting and special functions.
  • Assist with all aspects of credentialing and privilege delineation for CHOMP and Westland House.
  • Ensure program integrity through adherence with the Joint Commission, Title 22, state and federal regulatory requirements.
  • Maintain current knowledge of appropriate regulatory requirements.
  • Ensure accuracy and integrity of electronic credentials files and credentialing data base.
