About The Position

The Practice Manager I works under the direction of the Administrator and is responsible for the day-to-day operational leadership of the Neurology, Rheumatology & Bone Health provider practices. This role provides hands-on leadership to ensure efficient clinic operations, effective staffing and scheduling, consistent patient flow, and reliable execution of standardized workflows and policies. The Practice Manager I partners closely with providers, clinical leadership, Business Operations Coordinators, and front-line staff to support high-quality, cost-effective patient care while promoting employee engagement, patient satisfaction, operational consistency, and financial stewardship. This role may oversee a single location and/or satellite clinics supporting approximately 1–15 providers.

Requirements

  • Knowledge of ambulatory clinic operations and physician practice workflows.
  • Ability to lead day-to-day operations in a fast-paced healthcare environment.
  • Strong interpersonal, organizational, communication, and problem-solving skills.
  • Ability to analyze operational data and support performance improvement initiatives.
  • Demonstrated ability to build collaborative working relationships with providers, staff, and leadership.
  • Proficiency with electronic medical records and healthcare information systems.

Nice To Haves

  • Associate degree in Healthcare Administration, Business Administration, Nursing, or related field preferred; equivalent combination of education and relevant healthcare operations experience will be considered.
  • Minimum of 2 years of healthcare, physician practice, or ambulatory operations experience preferred.
  • Prior supervisory, lead, or coordinator experience preferred.
  • Experience with physician practice operations, staffing coordination, scheduling, and customer service preferred.

Responsibilities

  • Oversees daily operations of a single practice site or smaller scope ambulatory operation to ensure efficient and consistent workflows.
  • Ensures appropriate staffing, scheduling, and patient flow coverage to support operational needs and patient access goals.
  • Implements and maintains standardized operational workflows, policies, and procedures in alignment with organizational expectations.
  • Addresses operational issues, patient concerns, and staff concerns in a timely and professional manner.
  • Collaborates with providers, clinical staff, and business office staff to support effective clinic operations and patient care delivery.
  • Monitors operational performance indicators including patient access, throughput, staffing efficiency, and service standards.
  • Assists with implementation of organizational initiatives, process improvements, and operational changes within the practice.
  • Supervises Business Operations Coordinators and front-line staff within the practice.
  • Participates in recruitment, onboarding, orientation, and retention efforts for administrative and clinical support staff.
  • Provides day-to-day leadership, coaching, mentoring, and performance feedback to staff.
  • Supports employee engagement and fosters a positive, collaborative work environment aligned with Holland Hospital values and the 4Cs standards.
  • Assists with employee performance management processes including evaluations, corrective action, and development planning.
  • Ensures compliance with organizational policies, employment practices, and regulatory requirements.
  • Tracks and monitors operational, financial, and productivity metrics to support practice performance.
  • Assists in development and management of departmental budgets and expense monitoring.
  • Supports revenue cycle processes including scheduling workflows, registration accuracy, charge capture, and related front-end business functions.
  • Identifies opportunities for operational efficiencies and cost improvement initiatives.
  • Maintains accountability for responsible resource utilization and operational stewardship.
  • Supports compliance with regulatory, accreditation, and organizational standards.
  • Assists with implementation and monitoring of policies, procedures, and quality improvement initiatives.
  • Promotes a patient-centered environment focused on service excellence, safety, and quality outcomes.
  • Responds to patient feedback and collaborates with leadership to improve patient satisfaction and experience.
  • Supports staff education and operational readiness for audits, surveys, and practice compliance activities.
