About The Position

The Medical Services Receptionist is the first point of contact for patients, responsible for managing incoming communications, facilitating patient check-ins and check-outs, addressing patient inquiries, and carrying out various administrative duties. This role operates under the supervision of the Patient Care Director and is a full-time, non-exempt position requiring 35 hours per week.

Requirements

  • Committed Christian who demonstrates a personal relationship with Jesus Christ as Lord and Savior and is accountable to a local Bible-believing church.
  • Agreement with Choices’ Statement of Principle, Statement of Faith, Mission Statement, and policies of the organization, and is committed to the Ministry of Choices.
  • Strong commitment to the sanctity of human life and biblical sexual ethics and have a sincere desire to reach and help at-risk patients considering abortion.
  • Maintains a high level of professionalism and respect while interacting with patients, volunteers, coworkers, and leadership by emphasizing unity and collaboration amongst all working relationships in a fast-paced ministry environment.
  • Proven administrative skills including proficiency in Microsoft office products, independent problem-solving, and clear written and verbal communication skills.
  • Demonstrates initiative, accountability, and the ability to prioritize and manage assigned tasks with minimal supervision and follow-up.

Responsibilities

  • Manage incoming communications via phone, email, and electronic messages regarding appointments and follow-ups.
  • Refer department-specific questions to appropriate managers or leads.
  • Welcome and greet patients and their guests.
  • Prepare for patient appointments.
  • Notify appropriate staff or volunteers of patient or male client arrival.
  • Check patient documents for accuracy.
  • Schedule patients' next appointments.
  • Manage appointment availability within Athena EMR, including blocking provider schedules and appointment slots for operational needs.
  • Proactively manage assigned projects.
  • Perform other duties as assigned by the Patient Care Director.
  • Send, receive, and maintain patient medical records, ensuring all required Releases of Information (ROI) are properly completed and on file.
  • Provide basic support to staff and volunteers using Athena EMR, including answering questions about scheduling, password resets, and locating documentation.
  • Direct more complex EMR questions or training needs to the Patient Care Director.
  • Order medical supplies as per Choices’ policies.
  • Visit the partnering pharmacy weekly to process payment for STI medications and obtain records of patients who have picked up their prescribed treatment.
  • Maintain the STI log by documenting test results, scheduling and tracking TOC (Test of Cure) appointments, and notifying the Health Department of positive STI results.
  • Participate in the organization/tidiness and cleanliness of the reception, lobby, bathrooms, lab, volunteer room, etc.
  • Attend staff meetings.
  • Attend ongoing training and conferences (may require occasional travel).
  • Attend Choices events and other events as needed.
  • Participate in representation to churches and organizations.
  • Take an active role in the organization’s network strategy, including hosting a table at the annual Choices Fundraising Banquet.
  • Commit to being an active learner, staying educated about life issues as well as professional development.
