About The Position

This role involves handling routine requests for medical record information, answering basic release of information questions, and providing telephone services in a courteous and professional manner. The Medical Secretary will ensure electronic medical records are in order, update patient demographics, diagnoses, and orders within the Practice EMR, and initiate and maintain patient charts. Responsibilities also include scheduling patient visits, accurately completing EMR patient registration, verifying insurance eligibility, collecting co-pays and payments, and communicating financial policies to patients. Additionally, the role involves entering data into the scheduling/billing system and providing staff training on the Practice EMR system.

Requirements

  • Minimum: High School diploma or equivalent
  • Minimum: 1-year prior experience in an office, bank, retail, or other professional setting with direct customer interaction and strong emphasis on computer skills, exceptional customer service skills, ability to multi-tasks, and ability work in a team setting.
  • Minimum: Must demonstrate the ability to communicate clearly and pleasantly to staff, physicians, patients and visitors.
  • Able to perform under pressure, (relate to patients, hospital staff, physicians and visitors)

Nice To Haves

  • Preferred: Medical terminology course preferred
  • Preferred: 1-year Prior experience in a medical office.
  • Customer relations, hospital experience or satisfactory completion of related medical practice training program; Experience with coding procedures is desired.

Responsibilities

  • Handles routine requests for medical record information according to policy and procedure.
  • Answers basic release of information questions and follows up on a timely basis.
  • Provides telephone services, including answering calls, taking messages, giving information and making requests for services in a courteous and professional manner.
  • Ensures all electronic medical records are in appropriate order and information is forwarded for review as needed within the Practice EMR.
  • Updates computer with patient demographics, diagnosis, and orders.
  • Makes and records all referral information in the patient record.
  • Reviews and updates the patient demographic information and the patient record at each visit.
  • Initiates and maintains the patient chart within the EMR system appropriately and in functional order.
  • Verifies all information in chart is complete and accurate.
  • Schedules patient visits.
  • Accurately completes all areas of EMR patient registration.
  • Responsible for verifying insurance eligibility, ensuring referrals are in place, collecting patient co-pays and payments, and accurately communicating with patient regarding questions about office financial policies.
  • Enters data into scheduling/billing system.
  • Staff training to ensure up to date knowledge and ability to function using Practice EMR in accordance with all policies and legal requirements.
