About The Position

We are seeking a Medical Secretary to join our Gastro team. This position is ideal for a highly organized, customer-focused professional who enjoys working with patients, supporting clinical staff, and keeping office operations running smoothly. The Medical Secretary serves as an important first point of contact for patients and is responsible for providing exceptional customer service while performing a variety of clerical, receptionist, scheduling, registration, and medical records functions.

Requirements

  • High school diploma or equivalent
  • At least 1 year of experience in an office, banking, retail, or other professional setting involving direct customer interaction.
  • Strong computer skills and the ability to learn electronic systems quickly.
  • Demonstrated customer service skills.
  • Ability to multitask, prioritize responsibilities, and work effectively as part of a team.

Nice To Haves

  • Medical terminology coursework
  • At least 1 year of experience in a medical office setting.
  • Hospital experience, customer relations experience, or successful completion of a related medical practice training program is preferred.
  • Experience with medical coding procedures is a plus.

Responsibilities

  • Greet and assist patients in a courteous, professional, and patient-centered manner.
  • Answer incoming telephone calls, take messages, provide information, and coordinate services.
  • Register patients and accurately enter and update demographic information in the electronic medical record (EMR).
  • Schedule patient appointments and maintain accurate scheduling information.
  • Review and maintain electronic medical records to ensure information is complete, accurate, and up to date.
  • Process routine medical record and release-of-information requests in accordance with policies and procedures.
  • Obtain necessary treatment, billing, consent, and other required signatures.
  • Enter and maintain referral information, diagnoses, orders, and other patient information in the EMR.
  • Verify insurance eligibility and ensure required referrals are in place.
  • Collect patient co-pays and payments and explain office financial policies as needed.
  • Support pre-visit planning and other practice workflows designed to improve the patient experience.
  • Introduce new patients to the Patient-Centered Medical Home model and educate patients on how to access their care team during and after office hours.
  • Participate in training to maintain current knowledge of EMR systems, policies, procedures, and legal requirements.
  • Perform other clerical and support duties as assigned.
