About The Position

This is a full-time, bargaining position for a Medical Secretary, reporting to the PHN Supervisor. The role involves greeting clients, managing registrations, scheduling appointments, providing resource information, maintaining databases, handling financial transactions, managing mail, coordinating reports, and providing general administrative support. The position requires participation in public health emergency activities and collaboration with internal and external partners. The role also includes assisting clinic staff with administrative needs and performing other assigned duties.

Requirements

  • High School Diploma or equivalent.
  • Minimum of one year of experience in a medical office or clinic. OR no experience necessary (with one year of post HS/GED education).
  • Ability to efficiently multi-task on a daily basis.
  • Basic knowledge of medical terminology, insurance billing and coding.
  • Proficiency with use of PC hardware & basic software (i.e., Microsoft office), email, and office equipment (i.e., copier, fax, scanner, telephone, etc.).
  • Good customer service, verbal, and written communication skills.
  • Good interpersonal relationship skills including cultural sensitivity & competence.

Responsibilities

  • Greets clients via face-to-face, phone, and electronic methods to assess eligibility for CCBH clinic services and/or specialized programs.
  • Triages and directs client phone calls & emails to the appropriate parties.
  • Performs client registration including data entry of application and insurance information.
  • Prints appropriate documents for client and medical professionals while explaining documents to clients.
  • Schedules clients for services at appropriate clinic location by entering client identification & contact information into appropriate database (i.e., EHR, etc.).
  • Provides clients with appropriate community resource information.
  • Performs regular audits of databases and physical files to ensure data integrity prior to reporting to regulatory agencies.
  • Responds to phone and electronic inquiries from the public, and routes calls to the appropriate parties.
  • Completes appointment reminder phone calls for primary clinic location (Parma) and satellite clinic locations (Warrensville Hts.).
  • Scans insurance information, immunization record(s), and any additional documents provided by client into appropriate database(s).
  • Organizes and purges records per the local record retention rules.
  • Performs basic financial transactions with clients including accepting and processing payments and providing receipts.
  • Prints daily log of payments received.
  • Balances receipts & cash drawers in accordance with CCBH fiscal guidelines.
  • Accesses and provides prior immunization records to clients when requested and upon receipt of written release.
  • Gathers and organizes documents to satisfy medical records requests or other HIPAA reporting obligations.
  • Accepts, logs, sorts, and delivers incoming mail and parcels to appropriate parties.
  • Arranges for outgoing mail, parcel, and specimen pickup by mail/shipping companies.
  • Coordinates the printing and distribution of CCBH clinic reports, promotional materials, and other information for dissemination to clients.
  • Prepares and prints documents for satellite clinics according to established procedures.
  • Maintains and disseminates clinic contact directory.
  • Assists with the maintenance of clinic supplies and equipment inventory.
  • Assists with ordering and maintaining inventory of supplies for clinic.
  • Maintains information on vaccines within appropriate database(s).
  • Compiles regular reports for program manager and/or supervisor.
  • Participates in public health emergency activities as needed.
  • Collaborates with internal and external partners on special projects as assigned.
  • Assists clinic staff with general administrative support needs.
  • Performs other duties as assigned.
