About The Position

This is a full-time bargaining unit position at Mercy Health St. Joseph Warren Hospital. The Medical Imaging Secretary is responsible for managing incoming calls, taking messages, providing excellent customer service, typing documents, reproducing films, filing, maintaining department records, and processing department mail. A key responsibility includes scheduling outpatient and inpatient radiology procedures using computer and manual systems. The secretary will also gather precertification, authorizations, and verifications, preparing them for other departments as needed. They will accurately relay information to patients and offices regarding procedure preparation and obtain information for medical necessity prior to testing. The role requires consultation with radiologists and managers for scheduling, making sound decisions based on provided information and established protocols, and the ability to work effectively in a high-volume area while handling multiple tasks flexibly. Other duties may be assigned.

Requirements

  • High school graduate
  • Medical terminology course required
  • Basic Life Support required
  • Previous experience in health care related field preferred
  • Previous computer experience preferred
  • Knowledge and skill required to perform the job responsibilities for both technical and dimensional content.

Responsibilities

  • Answers incoming calls, triages calls to appropriate areas, and takes accurate messages.
  • Exhibits excellent customer service skills on the telephone and verbally.

  • Files and maintains records for the department.
  • Schedules outpatient and inpatient radiology procedures using a computer and/or manually as required.
  • Gathers precertification, authorizations, and verifications and prepares them for other departments as needed.

  • Performs scheduling for the Mercy Health Radiology Department, assessing requests and interpreting information according to protocol to create an accurate schedule.
  • Answers incoming radiology department calls, triages calls appropriately, and exhibits excellent customer service skills.
  • Obtains information for registrations, authorizations, verifications, and medical necessity following protocol to ensure appropriate reimbursements.
  • Records and transcribes messages accurately, and delivers messages to proper staff members.
  • Strives to make efficient use of time, seeks out work, and offers assistance to others when workload permits.
  • Covers secretarial tasks for Administrative and Radiology areas as needed.
  • Schedules for testing in the scheduling system software or manually, following protocol.
  • Assists the department in managing patient flow, reviewing printed schedules for accuracy, and distributing schedules.
  • Maintains patient confidentiality and discretion when discussing patient matters, and maintains strict confidentiality on all physician-related calls.
  • Answers all telephone calls in a courteous manner, identifying self and department.
  • Maintains assigned logs of telephone calls, messages, and scheduling/registration logs.
  • Retrieves and compiles statistics as assigned.
  • Responsible for obtaining and maintaining written physician orders and delivering them to appropriate registration sites prior to service.
  • Documents the status of written orders in the scheduling system.
  • Daily generates and prints the schedule for the Radiology department.
  • Attends all educational sessions related to job functions and maintains competency.
  • Directs unusual concerns, situations, or conditions relative to staff, patients, and physicians to the Radiology Director, Department Chairman, and managers.
  • Accurately sorts and distributes incoming mail as assigned or needed.
  • Maintains level of office supplies and retrieves supplies as needed.
  • Routes service calls to the appropriate area.
  • Proficiently operates all office equipment.
  • Attends department meetings and actively participates in department activities and projects.
  • Supports institution policies and procedures.
  • Wears hospital identification badge at all times and promotes a professional image by adhering to the established dress code.
  • Participates in own performance appraisal by identifying goals and reviewing progress with managers.
  • Demonstrates a professional commitment to growth and competence.
  • Adheres to work schedule by being on time and schedules PTO in accordance with department policies.
  • Retrieves and copies films and completes work process on off-site films.
  • Creates a positive attitude for others while maintaining a high level of commitment to standard practices.
