About The Position

The Patient Scheduling & Financial Services Coordinator is responsible for managing patient scheduling, registration, and insurance-related processes in a remote or non-patient-facing environment. This role ensures accurate collection of patient demographics and insurance information while providing guidance on billing processes and financial assistance options. The coordinator collaborates with clinical teams and physicians to support efficient and timely patient care delivery.

Requirements

  • Proficiency in Epic systems (including Epic Beaker)
  • Strong understanding of patient scheduling and healthcare operations
  • Knowledge of insurance processes and financial assistance programs
  • Excellent customer service and interpersonal communication skills
  • Strong organizational and prioritization abilities
  • Attention to detail with the ability to manage multiple tasks
  • Demonstrated ability to work in a fast-paced, team-oriented environment

Nice To Haves

  • Prior experience or coursework in healthcare, medical office administration, or related field preferred
  • Entry-level candidates with strong customer service aptitude encouraged to apply

Responsibilities

  • Schedule and register patients via phone and email with a high level of accuracy and professionalism
  • Collect and verify patient demographic and insurance information
  • Review and maintain provider schedules, including updates for new patients and appointment changes
  • Make daily and temporary adjustments to scheduling templates based on physician input
  • Obtain and verify insurance details from patients
  • Educate patients on billing processes and available financial assistance options
  • Assist patients with insurance-related inquiries and payment concerns
  • Support basic account maintenance activities
  • Communicate effectively with physicians and clinical staff to coordinate urgent and referral-based scheduling
  • Process internal physician referrals for clinical care
  • Collaborate with team members to resolve moderately complex patient or scheduling issues
  • Conduct appointment reminder calls and follow-ups
  • Utilize patient reminder systems to manage outreach and rescheduling needs
  • Assist with sending reminder notifications and other scheduling-related communications
  • Provide support to staff regarding billing and scheduling processes
  • Ensure compliance with organizational standards and workflow procedures
