About The Position

The Medical Records Technician supports the operational, compliance, and records management functions of the Medical Records department. This role is responsible for maintaining electronic medical records, processing medical record requests, managing incoming and outgoing correspondence, ensuring document accuracy, and supporting regulatory compliance. The Medical Records Technician partners with patients, providers, attorneys, insurance companies, clinics, hospitals, and internal departments to ensure accurate record management, timely information release, and exceptional customer service.

Requirements

  • High school diploma or equivalent required.
  • Minimum 1 year of experience in medical records, healthcare administration, customer service, or a healthcare office environment required.
  • Strong organizational, communication, customer service, and problem-solving skills.
  • Ability to manage multiple priorities while maintaining accuracy, confidentiality, and attention to detail.
  • Ability to work independently and effectively in a fast-paced healthcare environment.

Nice To Haves

  • Knowledge of medical records management, healthcare operations, document retention practices, and HIPAA regulations preferred.
  • Experience with Athena EMR, Microsoft Office Suite, electronic document management systems, and healthcare information systems preferred.
  • Registered Health Information Technician (RHIT) preferred.
  • Certified Electronic Health Records Specialist (CEHRS) preferred.

Responsibilities

  • Process and distribute incoming and outgoing mail, correspondence, and document requests for the organization.
  • Maintain and organize patient medical records in accordance with HIPAA, state regulations, federal regulations, and organizational policies.
  • Review, verify, scan, index, and upload medical records into the electronic medical record system while ensuring document accuracy and completeness.
  • Process medical record requests from patients, attorneys, insurance companies, physicians, clinics, hospitals, and other authorized entities.
  • Respond to incoming telephone calls, emails, and inquiries related to medical records requests and departmental operations.
  • Coordinate retrieval of archived medical records, imaging studies, and other records from offsite storage vendors.
  • Serve as a liaison between providers, staff, patients, and external organizations regarding medical record requests and documentation needs.
  • Support mailroom operations and maintain efficient processing of daily departmental workflows.
  • Assist with courier responsibilities and document transportation activities as needed.
  • Maintain accurate records of medical record requests, releases, correspondence, and document tracking activities.
  • Monitor departmental turnaround times, service levels, compliance standards, and operational performance metrics.
  • Ensure compliance with HIPAA, medical record retention requirements, release-of-information standards, and organizational policies.
  • Collaborate with Clinical Services, Revenue Cycle, Operations, Human Resources, and other departments to resolve records-related issues and improve workflows.
  • Identify process improvement opportunities and implement operational efficiencies to support departmental performance and customer service goals.
  • Other duties as assigned.
