About The Position

Taunton State Hospital is seeking a Medical Records Librarian. The incumbent consults with the Supervisor of Medical Records when necessary, regarding problem areas; meets with supervisor regularly to receive and impart information related to the Medical Records Department; and oversees the functioning of the Medical Records Department. The position is full-time, 37.5 hours per week, from 8:30 a.m. to 4:30 p.m. Days off are Sunday and Saturday.

Requirements

  • Knowledge of the principles and practices of medical records management.
  • Knowledge of the types and applications of medical records filing system.
  • Knowledge numeric, alphabetical, terminal digit filing systems used in medical records work.
  • Knowledge of the terminology, coding, symbols and standard abbreviations used in medical records work.
  • Knowledge of the methods of general report writing.
  • Ability to type.
  • Ability to gather information by examining records and documents and through questioning individuals.
  • Ability to work accurately with names, numbers, codes and/or symbols.
  • Ability to code medical records for filing and reference.
  • Ability to understand, apply and explain the policies, procedures, guidelines, etc., governing assigned unit activities.
  • Ability to give oral and written instructions in a precise, understandable manner and to deal tactfully with others.
  • Ability to assemble items of information in accordance with established procedures.
  • Ability to maintain accurate records, compile statistical data and prepare general reports.
  • Ability to follow written and oral instruction.
  • Ability to exercise discretion in handling confidential information.
  • Applicants must have at least (A) two years of full-time, or equivalent part-time, professional or paraprofessional experience in medical records work in a recognized hospital, clinic or medical facility, or (B) any equivalent combination of the required experience and the substitutions below.
  • Registration as a Registered Record Librarian (RRL) by the American Medical Record Association may be substituted for the required experience.
  • Registration as an Accredited Record Technician (ART) by the American Medical Record Association may be substituted for one year of the required experience.
  • Official certification or proof of successful completion of the American Medical Record Association independent home study course in medical record technology may be substituted for one year of the required experience.
  • Successfully completed education toward a degree from a recognized school with a major in medical records administration may be substituted for the required experience on the basis of one year (30 semester hours or its equivalent) of such education for six months of experience.
  • Full-time, or equivalent part-time, clerical experience in medical records work in a medical records unit or department in a recognized hospital or clinic may be substituted for a maximum of one year of the required experience on the basis of two months of such experience for one month of the required experience.

Responsibilities

  • Maintain and preserve medical records by managing medical record system and evaluating filing system for completeness, efficiency, and accessibility of data.
  • Maintain a deficiency tracking database in accordance with the prescribed system.
  • Determine proper filing of medical record folders by using a coded filing system for reference purposes.
  • Maintain indexes of medical records by providing updates to files/documents.
  • Oversee functions in the medical record department by establishing priorities.
  • Provide information by responding to telephone or written inquiries regarding patient medical information.
  • Meet with manager to report on accomplishments, difficulties, plans, etc., and may attend meetings and conferences in order to obtain and exchange information.
  • Admission packets prepared and maintained in Medical Clinic.
  • Opens and closes medical records and completes all tasks for new and discharged patients.
  • Enters deficiencies and completion dates for all pending deficiencies.
  • Audit in house binders.
  • Process releases.
  • Discharge ORYX.
  • Other duties as required for operation of the department/hospital.
