About The Position

Join a team that brings essential immunization services directly into the community. As the Medical Records Clerk, you will support our Immunization Outreach Team and serve as the welcoming presence clients meet at community outreach events and, at times, in our main immunization clinics. Your role helps ensure every person who comes for a vaccine feels supported, informed, and valued. This work includes outreach events on weekends and during evening hours. You’ll guide clients through check-in and registration, answer basic questions, and help create a smooth, positive experience from the moment they arrive. You’ll collect and enter demographic and insurance information accurately and with attention to detail, and ensure all required program forms are completed and properly acknowledged. In addition, you may participate in public health response efforts during disease outbreaks. Because you work with sensitive health information, you’ll also play a key role in protecting client privacy by following all confidentiality laws, regulations, and departmental policies. Your professionalism, compassion, and commitment to service strengthen our outreach efforts and help expand access to immunizations across the communities we serve. Please note that this is a grant-funded position.

Requirements

  • Six months of experience in a healthcare or medical office setting
  • High school diploma or GED
  • Post-secondary education may substitute for the required experience on a year-for-year basis.
  • Must possess or have the ability to obtain a valid Arizona driver’s license by the time of hire.
  • Travel throughout Maricopa County is required for immunization events and coverage at all four of our immunization clinics.
  • Within one month of hire, all employees will be required to provide evidence of immunity or receive immunizations for vaccine-preventable illnesses for any position within the Maricopa County Department of Public Health; required immunizations include MMR (measles, mumps, rubella), Tdap (whooping cough and diphtheria), Varicella (chickenpox), and annual Influenza; some positions require a Hepatitis B vaccine and/or a Tuberculosis test

Nice To Haves

  • Associate’s degree in business administration, healthcare administration, or related field
  • Certification as a Public Health or Community Health Worker from an accredited college, or currently enrolled in a Public Health or Community Health Worker program, and eligible to receive a certification within six months of hire
  • Two or more years of experience in a healthcare or medical office setting. (i.e., Knowledge of medical terminology, electronic medical records, and healthcare compliance standards)
  • Experience gathering data from patients and creating medical records
  • Experience with Vaccines or the VFC program
  • Bilingual skills in English and Spanish

Responsibilities

  • Provide welcoming, customer-focused service by greeting clients upon arrival, assisting with registration, answering basic questions, and ensuring each interaction is courteous, professional, and supportive.
  • Obtain and enter client demographic and insurance information into various computer programs; ensure appropriate forms are correctly acknowledged and signed by the client
  • Ensure all required forms are completed, acknowledged, and signed by clients in accordance with program requirements
  • Safeguard all patient information in compliance with applicable laws, regulations, and departmental policies. Ensures proper handling, storage, and release of records in accordance with confidentiality standards
  • Outreach event setup and breakdown, including preparing supplies, carrying supplies to transport vehicles, setting up mobile workstations, and moving furniture to meet event needs.
  • Work may occur in evenings and on weekends to support outreach event needs.
  • Participate in public health response efforts during disease outbreaks.
  • Protect client privacy by following all confidentiality laws, regulations, and departmental policies.
