About The Position

Job Title: Medical Records Clerk Location: 10th Medical Group, U.S. Air Force Academy, CO, 80840 Tentative Start Date: December 1, 2025 Work Schedule: Monday–Friday, 8- or 10-hour shifts between 0700–1700. Qualifications: Education: High school diploma or GED required. Experience: Minimum of 12 months of relevant experience within the last 36 months. Proficiency in computer use; ability to type 30–40 words per minute. Prior experience working with medical records, patient confidentiality, or HIPAA compliance preferred. License/Certification: Basic Life Support (BLS) required. Other Requirements: Must be a U.S. Citizen. Ability to read, write, and communicate effectively in English. Must be able to lift up to 25–50 pounds and use step ladders for high shelving Documents Required for Submission: Updated Resume (With all gaps explained) Basic Life Support (BLS) certification.

Responsibilities

  • Maintain, organize, and retrieve patient medical records in accordance with Military Treatment Facility (MTF) and HIPAA regulations.
  • Process requests for the release of medical information following DoD privacy guidelines and applicable directives.
  • Research, analyze, and abstract information from medical files, which may include multiple diagnoses, treatments, and procedures.
  • Verify the validity of requests for information and escalate questionable requests to legal or compliance offices for review.
  • Brief patients, insurance companies, and agencies on policies regarding medical record access and release.
  • Update, code, and document patient records to ensure accuracy and completeness.
  • Ensure proper billing procedures are initiated upon processing record requests, including posting charges and forwarding statements to accounting.
  • Treat all patient information as confidential and ensure lists/names are not disclosed without written authorization.
  • Provide administrative support such as filing, scanning, copying, and maintaining logs related to medical records.
  • Support healthcare staff with timely access to patient charts and documentation to ensure continuity of care.
