The Medical Records Clerk - ROI Specialist will be responsible for completing release of information requests, ensuring accuracy and adherence to established procedures and HIPAA guidelines. This role involves retrieving and scanning medical charts, validating requests, performing quality checks, and sorting/filing medical record information. The specialist will also handle telephone and email requests, assist with various audit and subpoena requests, and provide prompt communication regarding ROI status. Additionally, this position may involve assisting with training new staff and managing backlogs in direct messaging.

Requirements

  • Experience with medical records
  • Knowledge of HIPAA guidelines

  • Strong communication skills for returning calls promptly

Responsibilities

  • Completes release of information requests including retrieving patient’s medical chart and returning chart, scanning medical record accurately and correctly and transmitting daily, according to requests, established procedures, and established standards of quality and productivity.
  • Date stamps all requests and highlights pertinent data to facilitate processing.
  • Validates requests and authorizations for release of medical information according to established procedures.
  • Performs quality checks on all work to assure accuracy of the release, confidentiality, and proper invoicing.
  • Sorts, files, and collates a variety of medical record information such as primary physician records or referrals, diagnostic exam reports, laboratory and pathology reports, transcribed clinic notes, operative reports, and discharge summaries into medical records in appropriate sequence and in accordance with established medical record policies and procedures.
  • Answers telephone and takes verbal and e-mailed requests for medical records or information; sorts requests according to predetermined priorities and provides routine information of a general nature such as demographics, clinic dates, or record locations to authorized requestors.
  • Is familiar with rules and regulations of proper HIPAA guidelines and authorizations for subpoenas.
  • Assists with Report Corrections and Transcription requests
  • Assists with Audit requests
  • Assists with Subpoena requests
  • Assists with DATAVANT issues
  • Returns calls promptly to patients, attorney offices, audit requests from Payors, disability carrier, and/or record retrieval companies,etc. regarding ROI status/updates
  • Assists with Direct Messaging backlog when necessary
  • Assists with training new staff members upon request
  • Other duties as assigned and requested.
