About The Position

The Medical Records Case Manager is responsible for reviewing and processing document retention requests and inquiries in the Psychiatric Services Department. This includes organizing and maintaining Medical Records and document retention processes and workflows. The Case Manager also participates in quality assurance activities such as chart audits and data and document collection activities. Schedule Monday - Friday, 9 AM - 5 PM 3 days in office required , 2 remote days after 90 days

Requirements

  • Bachelor's degree
  • Minimum of 1 year of experience working in a medical records department
  • Demonstrate the ability to learn applicable federal and state confidentiality and privacy laws
  • Proficient in Microsoft, Word, Excel
  • High organizational skills to manage several different tasks at once
  • Must be located in the state of Illinois
  • Strong attention to detail and accuracy required
  • Ability to prioritize and function effectively, efficiently, and accurately in a multi-tasking complex, fast paced department

Responsibilities

  • Prepares, reviews, and processes document retention inquiries and medical records requests under the direction of the Assistant Director of Clinical Operations and/or Senior Director of Clinical Operations following applicable federal and state confidentiality laws and regulations
  • Prepares, reviews, and develops maintenance processes and workflows for all psychiatric services related documents
  • Schedules consultations for psychiatric providers to review medical records
  • Processes and tracks psychiatric services medical records requests
  • Reviews clients' charts to ensure necessary release of information (ROI) is available in EMR
  • Scans medical records into client’s chart
  • Determines records to be requested in accordance with HIPAA guidelines and obtaining pertinent client data from various sources, including electronic, off-site, or physical records that match patient request
  • Applies knowledge of health care principles and standards of confidentiality, client rights, safety, incident and sentinel event reporting, and personnel policies to all assigned responsibilities
