Provide and maintain resident medical records and health information systems in accordance with current federal and state guidelines as well as in accordance with our facility’s established privacy policies and procedures.
Partner with providers who conduct on-site visits to maintain schedules as well as schedule offsite appointments and transportation for residents when needed
Serve as a key point of contact for providers regarding medical records procurement, including timely collection and distribution of requests for medical records
Scan, attach, and file documents while maintaining the integrity and accuracy of data and abiding by HIPAA and medical privacy regulations
Run report to understand what labs are due for each resident, accurately filling out lab requisition form to give to nurses for completion; enter labs in as order into Matrix, adding a diagnosis to the order in preparation to send to lab company
Create electronic health record by entering resident information into the electronic health record database and retrieve resident information as needed
Responsible for appropriately closing out resident’s files upon discharge which includes disassembling and filing within company’s guidelines
Assist with administrative duties as needed, which may include updating facility lists, answering telephones, or covering the reception desk
Provide back-up support to the Medical Records Coder with order entries and coding as needed
Attend mandatory facility in-service training programs as scheduled
Other duties as assigned to meet the needs of the facility/company
Understanding Medical Terminology, HIPAA, and medical privacy regulations
Excellent attention to detail/accuracy
Possess strong organizational skills
Excellent communication skills, both verbal and written
At a minimum, must have high school diploma or its equivalent
Have at least one (1) years’ experience in a clerical position, or successfully completed a secretarial science program from an accredited school/college.
