About The Position

The Medical Records Administrator is responsible for managing patient charts, including filing, retrieving, and maintaining records. This role involves handling incoming mail, preparing charts for release, and cross-training on the telephone operator position. The administrator will also perform site-specific tasks and update electronic health records (EHR) according to established procedures, particularly for specific types of record requests.

Requirements

  • High school diploma or a GED
  • Six months related experience and / or training
  • Ability to apply a common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving occasional, last-minute changes in generally standardized situations.

Responsibilities

  • Files and retrieves patient charts.
  • Searches for and investigates information contained in files, keeps files current, supplies information from file data, and removes files upon authorization.
  • Maintains archived chart logs.
  • Sorts and distributes incoming mail.
  • Prepares charts for release of medical records to various entities following specific procedures.
  • Cross trains on telephone operator position.
  • Performs other work-related duties as assigned.
  • Performs site specific tasks.
  • Updates EHR for attorney requests, patients leaving the practice, or requests for second opinions, including preparing the 'check list' and ensuring provider sign-off where required.
  • Prepares 'check list' for other record requests.
  • Sets aside charts for scanning if they need to be physically faxed, instead of reassembling and filing them.
