About The Position

Matrix Providers is hiring a Medical Record Technician- Emergency Room to join our team of talented professionals who provide health care services to our Military Service Members and their families in at Walter Reed National Military Medical Center Bethesda, Maryland. This is an hourly position with a compensation of $28.61/hr + H&W $5.09/hr. The Emergency Room Medical Record Technician Core Job Duties involve providing support services to ensure accurate and efficient documentation of patient information at Walter Reed National Military Medical Center. This includes patient registration, chart management, transcriptions, quality assurance, and data entry. The role requires maintaining organized and accurate patient records, supporting healthcare providers in delivering timely and effective patient care. Customer service is paramount to this position, and MRTs are expected to greet all patients and visitors with the utmost dignity and respect, maintaining professionalism throughout any interactions. They must also maintain the security of patient medical data per HIPAA regulatory guidelines. MRTs will rotate through all three areas (front registration desk, rear work area, and mobile WOW) weekly. They will ensure they have all the supplies needed at the beginning of their shift and that all equipment they use is functioning properly. MRTs will also be familiar with all hospital and department policies regarding various code scenarios and be prepared to support patient administration and registration needs, particularly in the event of a mass casualty scenario. They will attend command orientation and complete all mandatory hospital training per the prescribed due date. Assist with the collection and presentation of departmental data, investigate and correct administrative errors, and assist with training new MRTs. Participate in various departmental and command meetings as an ED customer service and patient registration subject matter expert, helping identify opportunities to improve care delivered and recommend corrective action when problems exist. Participate in clinical staff quality assurance functions and clinic Performance Improvement/Risk Management Programs as prescribed by the Commander.

Requirements

  • High School diploma or General Educational Development (GED) equivalency.
  • Basic medical terminology required.
  • Minimum of one-year professional experience within the preceding three years working as a General Clerk.
  • Basic Life Support for Healthcare Providers, American Heart Association, or American Red Cross Healthcare Provider Course.
  • U.S. Citizen
  • Experience and efficiency in word processing and data entry.
  • Experience in interpreting medical terminology, anatomy and physiology, pharmacology, disease processes and treatment modalities to the extent necessary for successful completion of performance requirements.
  • Ability to understand, analyze, and interpret medical information.
  • Experience in data collection techniques and medical data collection codes.
  • Experience in verifying data and correcting errors.
  • Experience in working with patient medical records.
  • Experience in gathering data, compiling information, and preparing reports.
  • Able to read, write, speak, and understand English well enough to effectively communicate with customers.
  • Knowledgeable of equipment and supply terminology and skill sufficient to identify and use necessary equipment and supplies properly.
  • Familiarity with Medical Record Tracking / Medical Records Tracking Module 2 (MRT/ MRT2).
  • Familiarity with Medical Health System Genesis (MHS Genesis).
  • Familiarity with Defense Medical Human Resources System-internet (DMHRSi).
  • Ability to carry out work rotations through all three major functional areas as needed and directed by departmental leadership.

Responsibilities

  • Ensure all necessary supplies are available at the beginning of the shift.
  • Ensure all equipment is functioning properly and report any malfunctions.
  • Check the '724 Downtime Viewer' to ensure information is up to date.
  • Be familiar with all hospital and department policies regarding various code scenarios.
  • Be prepared to support patient administration and registration needs, particularly in the event of a mass casualty scenario.
  • Attend command orientation and complete all mandatory hospital training.
  • Assist with the collection and presentation of departmental data.
  • Assist in investigating and correcting administrative errors.
  • Assist with training new MRTs.
  • Participate in various departmental and command meetings.
  • Participate in clinical staff quality assurance functions and clinic Performance Improvement/Risk Management Programs.
  • Complete quick registration in Electronic Health Record (EHR) per department’s policy.
  • Complete full registration per department’s policy, ensuring the provider assigned to the patient in the EHR is the same as is currently caring for the patient.
  • Collect Third Party Insurance Form as needed, scan and make a copy of their insurance card and personal ID, upload both into the HER, retain a paper copy of both for submission with Third Party Insurance Form to PAD and provide the patient with a Third-Party Collection Insurance Verification Card.
  • Print and place wristband on patients using the two patient identifies (name and date of birth) per departmental policy.
  • Print demographic labels as needed.
  • Work with the patient and/or their driver in completing hospital parking forms(s) per policy.
  • Complete End-of-Day/End of Shift documents and processes per department policy.
  • Notify the Triage Nurse or Charge Nurse immediately of any patients that present to the registration desk that are, or appear, critically ill or meet criteria for being potentially highly infectious.
  • Notify the Charge Nurse and contact Patient Administration (PAD) with any difficulties in registering a patient.
  • Answer the Department’s main phone line promptly and no later than the third ring.
  • Transfer calls to the appropriate people.
  • Page consultants as requested both verbally and through order in EHR.
  • Record when the consultant was paged and when the consultant returned the page in EHR.
  • Scan all patient documents into the EHR, confirming correct patient, chart, and date of service.
  • Retrieve old EKGs, emergency medical services (EMS) run sheets, or other outside records as requested.
  • Call CDO desk to announce codes (i.e. trauma, stroke, code grey, etc.) per departmental policy.
  • Make overhead announcements via the department’s 1MC as needed/directed.
  • Complete registration of critical and/or unknown patients as needed.
  • File newly scanned documents and discard old, previously scanned documents, following departmental policy.
  • Receive and send out faxes.
  • Assist staff with obtaining medical records from outlying facilities, including completion of medical release forms.
  • Assist with direct admission by coordinating with NOD and PAD and providing key demographic information to ensure patients are promptly admitted to the hospital.
  • Maintain available copies of all Emergency Department forms.
  • Book clinic appointments per Command and Departmental policy.
  • Complete a full registration of every patient within EHR, at the patient’s bedside per departmental policy.
  • Assist with registering patient who arrive by ambulance.
