About The Position

The Medical Records Scanner is responsible for preparing, scanning, importing, indexing, and quality reviewing medical and administrative records for inclusion in the Department of Veterans Affairs (VA) Electronic Health Record (EHR). This position ensures that all documents are accurately digitized, indexed, and uploaded into VA-approved systems while maintaining the highest standards of confidentiality, quality, and regulatory compliance.

Requirements

  • High School Diploma or equivalent.
  • Minimum one (1) year of medical records, document imaging, health information management, or related experience.
  • Strong attention to detail.
  • Ability to organize large volumes of documentation.
  • Excellent keyboarding and computer skills.
  • Proficiency using Microsoft Office applications.
  • Ability to maintain strict confidentiality.

Nice To Haves

  • Experience scanning and indexing medical records preferred.
  • Experience working with Electronic Health Records (EHRs) preferred.
  • Previous VA experience.
  • Experience using: VistA Imaging / CPRS / Cerner Millennium
  • Health Information Management (HIM) experience.
  • Medical terminology knowledge.
  • HIPAA certification or prior healthcare privacy training.

Responsibilities

  • Prepare paper medical records for electronic scanning by removing staples, repairing damaged documents, organizing pages, and ensuring documents are complete.
  • Scan medical documentation using VA-approved imaging standards.
  • Import electronic documentation into the VA Electronic Health Record.
  • Accurately index documents using established document types and patient identifiers.
  • Verify document orientation, readability, completeness, and image quality.
  • Ensure all scanned records meet minimum VA image quality requirements.
  • Perform 100% self-quality reviews before final submission.
  • Report any scanning or indexing errors immediately for correction.
  • Protect sensitive patient information in accordance with HIPAA, VA Privacy Rules, and Information Security policies.
  • Maintain accountability for all records from receipt through final return.
  • Utilize VA software including VistA Imaging, CPRS, Cerner, and other approved applications.
  • Participate in workload reporting and productivity tracking.
  • Follow established workflow procedures and quality assurance requirements.
  • Meet production standards while maintaining required quality levels.
  • Communicate professionally with supervisors and VA personnel regarding workflow issues.
  • Complete all required VA security and privacy training.
