Requirements

  • High school diploma or GED.
  • Minimum of one (1) year of experience in an administrative role.
  • Minimum of one (1) year of hands-on experience with Electronic Medical Record (EMR) systems.
  • Proficiency with Microsoft Office Suite or related software.
  • Delivers exceptional customer service with professionalism and compassion.
  • Communicates effectively with patients, families, physicians, and staff.
  • Maintains organization and accuracy while managing multiple priorities.
  • Works independently while contributing to a collaborative team.
  • Protects patient confidentiality and handles sensitive information with discretion.
  • Demonstrates strong attention to detail and sound organizational skills.

Nice To Haves

  • Previous experience in a healthcare or ambulatory surgery setting.
  • Knowledge of medical terminology, office procedures, and medical record management.

Responsibilities

  • Welcome patients and complete check-in, check-out, and registration.
  • Collect co-pays, deposits, and required patient documentation.
  • Prepare new patient paperwork, insurance forms, and privacy notices.
  • Create, maintain, and organize patient charts and electronic medical records.
  • Utilize EMR systems to support daily clinical and administrative workflows.
  • Answer and direct incoming phone calls professionally.
  • Schedule, reschedule, and confirm patient appointments.
  • Proactively fill open appointment times by offering earlier appointments when cancellations occur.
  • Schedule follow-up appointments and document exceptions as needed.
  • Obtain and record patient histories, vital signs, and test results while maintaining confidentiality.
  • Prepare examination rooms and support patient flow.
  • Maintain compliance with HIPAA, OSHA, and facility policies while completing required annual training.
