About The Position

The Centre for Family Medicine FHT (CFFM FHT) is seeking a permanent full-time Medical Receptionist for the CFFM Refugee Health Clinic (CFFM-RHC) and Other FHT Programming. The CFFM-RHC collaborates with the Reception House to address the initial healthcare needs of government-assisted refugees (GARs) settling in Waterloo Region. The clinic provides primary care to GARs for 18 months post-arrival, assisting them in connecting with local family doctors once medically stable. The clinic currently operates four days a week, with specific focuses on patient intakes, episodic care, health promotion, and chronic disease management. Support for other FHT programs may be required on an as-needed basis. This role is crucial for supporting the medical team working with newcomer refugees, requiring excellent communication skills and coordination with staff from Reception House Waterloo Region and interpreters from the Kitchener-Waterloo Multicultural Center.

Requirements

  • Post-secondary education, preferably related to health (an asset)
  • Minimum 2 years of experience in an administrative position within a healthcare organization, preferably primary care
  • EMR experience, preferably Practice Solutions
  • Excellent information technology skills, including working knowledge of Windows and Microsoft Office 365 (Excel)
  • Experience working with a patient/client database system for booking, billing, scheduling, and retrieving information (Practice Solutions experience preferred)
  • Excellent communication skills (written, verbal, and interpersonal)
  • Ability to multitask, prioritize, and manage time effectively to optimize productivity and meet critical deadlines with specific attention to detail in a fast-paced environment
  • Strong self-starter, able to effectively prioritize key tasks and deliverables with limited day-to-day direction, and is a solution-oriented thinker
  • Demonstrated ability to work collaboratively and take direction from healthcare professionals
  • Proven ability to maintain confidential information regarding patients, healthcare providers, employees, business operations, and team information
  • Comfort and experience working with non-English speaking populations, or through an interpreter
  • Conscientious, flexible, and adaptable

Responsibilities

  • Organize and maintain paperwork flow and process
  • Scan all medical reports and forms into EMR after ensuring completion with appropriate consents and signatures, and message the appropriate provider(s)
  • Answer phones and emails from patients and case managers, process requests for appointments, and book accordingly
  • Communicate with patients as required, utilizing appropriate language lines, in-person interpreters, or referred appointments
  • Document and maintain clear records in the EMR for all communication with patients, specialist offices, and community partners
  • Manage messages within PSS to track appointments and referrals
  • Maintain updated patient demographics by obtaining, recording, and revising personal information
  • Provide administrative support to the team as needed, including faxing and mailing
  • Assist with discharge documentation and sharing
  • Ensure interpretation is arranged as needed
