The Medical Receptionist must be able to multi-task and function in a fast-paced environment while contributing to a positive environment for patients and staff and participating in problem-solving activities. This role requires someone who is detail-oriented, sensitive to patient needs, and requires minimal supervision to function efficiently. The Medical Receptionist maintains office operations by receiving and distributing communications, maintaining supplies and equipment, and serving patients. This role works directly with clinical staff and acts as a liaison between the patient and the provider. Close communication with patients, nurses, providers, and case managers is necessary to coordinate care. This position assists in keeping the office running efficiently by performing clerical duties such as answering telephones, photocopying, faxing, and providing quality customer service. Communication with and respect for the patient is essential to build rapport, and good patient assessment skills are vital. The Medical Receptionist must prioritize tasks and use space and time efficiently, demonstrating critical and logical thinking. Requirements

  • Level 2 background clearance required
  • Proof of immunizations for (1) Tdap, (2) MMR’s, HEP B vaccination, and either a history of chicken pox (varicella), or documentation of the varicella vaccine, a PPD Test is done once upon hire
  • Good oral and written communication skills are required.
  • Information must be exchanged using tact and persuasion appropriately.
  • Must be able to communicate with the patients, staff, and others; and contribute to a positive environment.
  • Must be able to multi-task and function in a fast-paced environment.
  • Must be detail-oriented, sensitive to the patient’s needs, and require minimal supervision.
  • Must prioritize tasks and use space and time efficiently.
  • Must be able to think critically and logically.

Nice To Haves

  • Bilingual English Spanish, or Creole preferred, but not required.
  • College degree preferred.
  • Prior authorization and / or scheduling experience preferred.

Responsibilities

  • Maintains professional behavior, and attitude towards patients, visitors, and coworkers.
  • Ensures waiting areas and reception areas are kept neat and clean.
  • Greets visitors, and vendors and directs them to the appropriate staff members.
  • Ensures all patient information is captured into Phreesia and converted into Athena during the check-in process.
  • Greets patients and confirms insurance information as well as patient demographics.
  • Collects current and valid patient identification and insurance information to be scanned into the chart.
  • Establishes the patient’s reason for the visit and distributes the appropriate patient packet of information and/or consent forms.
  • Collects patient payments.
  • Checks patients out, and schedules follow-up appointments as directed by the provider.
  • Schedules referrals for diagnostic testing and specialty appointments as requested.
  • Follows up on referrals to ensure patients are keeping the appointments as scheduled.
  • Answers incoming calls and schedules patient appointments.
  • Calls patients to remind them of upcoming appointments.
  • Verifies patient insurance eligibility.
  • Manages and maintains provider schedules as appropriate.
  • Clears no-shows, reschedule canceled, and bumped appointments in PM.
  • Opens and closes payment batches.
  • Documents patient contacts and progress in the EHR.
  • Attends educational offerings as appropriate.
  • Required to conduct outside screening, as needed.
  • Performs other duties and responsibilities as assigned.
  • May occasionally need to travel from one clinic to another for coverage.
