As a Medical Receptionist, you'll play a critical role in creating a positive first impression for patients, families, and visitors. You will serve as the primary in-office point of contact for patients, visitors, and caregivers by providing consistent, in-person support and assistance throughout the patient visit. Greet and check in patients, answer questions, provide information regarding appointments and office procedures, direct patients to appropriate clinical or administrative staff, and facilitate communication between patients and the healthcare team to ensure a positive patient experience and efficient office operations. This position supports efficient practice operations by ensuring accurate patient information, facilitating communication between patients and clinical teams, and promoting a welcoming, professional environment. Through attention to detail and a patient-centered approach, you will contribute directly to the overall patient experience and operational success of the practice.

Requirements

High School diploma or GED required.
Minimum of one (1) year of customer service experience required.
Excellent customer service and interpersonal communication skills.
Ability to establish positive and professional relationships with patients, families, providers, and coworkers.
Strong organizational and multitasking abilities.
Attention to detail and commitment to accuracy.
Ability to manage multiple priorities in a fast-paced healthcare environment.
Strong verbal and written communication skills.
Ability to maintain confidentiality and professionalism at all times.
Knowledge of general office practices, scheduling procedures, and customer service standards.
Proficiency with computers, electronic medical records, scheduling systems, and Microsoft Office applications.
Ability to work independently while contributing to a collaborative team environment.

Nice To Haves

Basic understanding of medical terminology preferred.
Previous medical receptionist, healthcare registration, or medical office experience preferred.
Experience working with electronic medical records and scheduling systems preferred.
Knowledge of medical terminology preferred.

Responsibilities

Greet patients, visitors, and vendors in a courteous, professional, and timely manner.
Register patients and verify demographic, insurance, and contact information for accuracy.
Collect co-payments, balances, and other patient financial responsibilities in accordance with organizational policies.
Answer and direct incoming telephone calls while providing accurate information and exceptional customer service.
Schedule, coordinate, confirm, and reschedule patient appointments according to practice guidelines.
Assist patients with completing required registration forms and documentation using electronic or paper-based systems.
Maintain physician schedules and ensure appointments are appropriately booked and managed.
Coordinate referrals, testing, procedures, and appointments with specialists and external healthcare providers as directed.
Scan, upload, fax, and manage patient records and other documentation within the electronic medical record system.
Assist in obtaining outside medical records, laboratory results, imaging reports, and consultation notes.
Monitor patient flow and communicate delays, scheduling concerns, or operational issues to appropriate staff.
Maintain a clean, organized, and welcoming reception and waiting area.
Support patient communication by relaying messages and assisting with non-clinical inquiries.
Assist with administrative projects, office supply management, and routine clerical functions as assigned.
Attend departmental meetings, training sessions, and continuing education activities as required.
Comply with HIPAA, OSHA, and all organizational policies and procedures.
