About The Position

Under the direction of the Health Center manager, the Appointment Clerk/Interpreter performs a variety of tasks related to answering the telephone, scheduling appointments, mailing reminder letters, no-show letters and recall letters to patients. The Appointment Clerk/Interpreter demonstrates the ability to be a team member. Demonstrates knowledge and skills to appropriately communicate and interact with the patients, families and visitors of all age groups, while being sensitive to their culture and religious beliefs.

Requirements

  • Must have a high school diploma or GED
  • Must demonstrate basic computer and typing skills
  • Must have pleasant and courteous telephone voice with good diction
  • Formal Spanish training to be able to communicate effectively using Spanish, or bilingual
  • Some work experience in a health/clerical related field
  • Prior interpretation experience required
  • Knowledge of basic recordkeeping and filing systems
  • Demonstrates skill in written and oral communications, including assisting patients with necessary forms
  • Be able to perform multiple tasks
  • Must demonstrate a positive personal attitude, such as professionalism

Nice To Haves

  • Knowledge of basic medical terminology helpful

Responsibilities

  • Communicate effectively with the bilingual (Spanish) patients
  • Answer telephones in a courteous and professional manner
  • Assist patients with scheduling and rescheduling of appointments
  • Monitor calls and responds appropriately
  • Answer patients questions in a professional manner
  • Update and correct patients’ addresses and contact telephone numbers
  • Mail appointment reminder letters one week in advance of appointments
  • Make appointment reminder calls a day in advance of appointment
  • Deliver messages to providers and staff
  • Mail monthly recall letters, paps, and immunizations
  • Mail “Welcome Cards” to all new patients
  • Answer the telephone by the third ring
  • Relieve and provide back-up for the Medical Receptionists, as needed
  • Keep adequate supplies on hand
  • Keep the work area clean and organized
  • Maintain prompt and regular attendance
  • Verify timecard at the end of each pay period
  • Perform related work, as assigned
  • Be flexible and willing to float to other clinic locations as needed to support operational needs, ensure adequate coverage, and maintain quality patient care
  • Complete the required IT/Security trainings prior to the deadline
